Job Summary
The Screening Coordinator contributes to a Centralized Operations team (Resident Experience Team) by performing tasks associated with operating various multifamily properties including processing applications, assisting resident onboarding, and providing support to both existing tenants and our on-site operations team.
This position is based out of our HQ in Chicago and with a schedule of 9am-5pm Tuesday through Saturday
Essential Job Functions
- Identifies missing/fraudulent documents and communicates (email, text, phone call) with future resident, and site team when necessary, to coordinate gathering of additional relevant documentation
- Accurately and consistently calculates applicant income in accordance with property-specific parameters
- Reviews all application supporting documentation
- Verifies the completeness of resident applications, ensures all pertinent documents are uploaded in property management software, and records any associated notes
- Maintains the integrity of data in property management software to ensure accurate reporting
- Maintains a thorough grasp of screening parameters and applicant requirements
- Complies with both local and federal fair housing regulations as identified
- Clearly identifies and communicates the reasons for approving, conditionally approving, or denying applicants
- Articulates screening parameters and applicant requirements with clarity
- Effectively troubleshoots and resolves issues related to improper data entry, fraudulent documents, site team escalations, and other related matters
- Identifies missing documents required for move-in and communicates with future residents to coordinate gathering of additional documentation; ensuring all relevant documents are uploaded in property management software and provide thorough notes
- Sends all relevant move-in documentation (lease, move-in statement, welcome email) in a timely manner as applications become approved
- Calls all move-ins promptly to walk them through move-in process and required documentation to streamline the physical move-in process
- Ensures all relevant data has been entered into property management software and thus feeds correctly for reporting purposes
- Processes written notices-to-vacate and updating forwarding addresses
- Clearly articulates all expectations and requirements to incoming and existing residents
- Processes late rent letters, renewal leases, renewal letters, renewal reminders promptly and accurately
- Responds to resident questions regarding existing leases via email and phone
- Answers and thoroughly documents phone calls placed to the resident relations line
- Follow-up on insurance cancellations and force-placing insurance
- Performs additional administrative tasks
Who We Are Looking For
- 3 years of customer service experience; administrative experience is a plus
- Thrives in fast-paced, high-pressure environments
- Maintains professionalism in all interactions, regardless of communication mode (email, phone, in-person, etc.)
- Highly detail-oriented and organized
- Strictly follows established processes, guidelines, and compliance regulations
- Meets tight deadlines and scheduling requirements, ensuring adherence to housing rules and regulations
- Excellent verbal and written communication skills in English
- Proficient in Microsoft Office Suite (Excel, Outlook, Teams, Word)
- Familiar with online calendar systems and scheduling tools
- Strong time management and multitasking abilities
- Capable of seamlessly switching between tasks and managing multiple projects simultaneously
- Self-motivated and able to work independently with minimal supervision
- Strong English reading comprehension skills
- Quick learner with excellent problem-solving abilities
