CUSTOMER SERVICE

The Administrative Specialist position is mainly responsible for handling and processing customer service inquiries. This position works with customers, vendors, and other outside providers ensuring inquiries are handled in a professional and timely manner. This position includes other general office tasks as needed.

Essential Functions:

• Coordinate with customers, and sales teams in processing credits and shipping replacement parts
• Work with transportation and serve as a backup in areas of logistics and work with freight companies to coordinate pick-ups and deliveries as needed
• Assist with invoicing to customers as needed
• Customer service order entry and maintain communications with sales reps and customers
• Serve as a back up to Accounts Receivable clerk collecting and processing payments, posting cash, credit approval using CIT.
• Serve as a back up to Accounts Payable clerk and be able to process outgoing payments as needed
• Assist with inventory including physical counts, compilation, and valuation
• Assist with production scheduling
• Assist with printing production, shipping, and sewing labels
• Assist Purchasing Manager and Plant Accountant with general clerical tasks as needed
• Assist other team members in the front office and receptionist area greeting visitors and handling incoming phone calls as needed

Qualifications:

• High school diploma or GED preferred
• Intermediate to advanced Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
• Excellent verbal and written communication
• Highly Organized and able to meet deadlines
• Highly motivated with a desire to learn
• Communicate with clients, suppliers, and other employees professionally at all times

Preferred Education and Experience

• Previous experience in an office and clerical role required
• Previous experience within the furniture industry preferred

Supervisory Responsibility
This position has no supervisory responsibilities.

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, etc. At times this role could require being able to work within a warehouse and/or production floor environment for limited amounts of time.

Position Type/Expected Hours of Work

This is a full-time position. The hours of work are Monday through Friday, 7:00 a.m. to 4:00 p.m., for a total of 40 hours per week. The company reserves the right to modify these hours as needed based on the company’s needs. Flexibility to work outside of these times could be required.
