Summary of Duties :
The Quality Management Assistant will assist in the implementation and monitoring of the agency-wide Quality Management and Corporate Compliance Plans. The Quality Management Assistant will conduct investigations, review individual’s program plans, participate in staff development and audit various agency operations as assigned.
Reporting Relationship :
The Quality Management Assistant receives direct and ongoing administrative supervision from the Director(s) of Quality Management. The QM Assistant works collaboratively with the VP of Quality Management and other Department Leaders. This position has no supervisory responsibilities.
Essential Duties :
1. Responsible for performing all duties in concert with the agency mission.
2. Under direction of the Director, may participate in managing individual untoward incidents, including notifying appropriate authorities, completing investigations and drafting final reports.
3. Maintains an ongoing record of all quality assurance monitoring activities and generates monthly reports for committee review.
4. Engages in quality assurance compliance audits of programs, product, services lines and maintenance contracts as assigned.
5. Participates as assigned on agency committees (e.g. Safety, Informed Consent, etc.).
6. Maintains resource files on current regulations, material safety data sheets (MSDS), training announcements, etc., and disseminates information upon request.
7. Assists in the development of employee training on quality management related topics and may participate in trainings (e.g. annual incident reporting, etc.) as assigned.
8. May assist with developing strategic planning with short- and long-range goals to meet program and service objectives with other management team members as assigned.
9. Responsible for ensuring that all confidential and potentially sensitive information is processed, maintained and utilized according to procedures in a strict confidential manner.
Other Duties :
1. Communicates an awareness of the existence and contents of the compliance plan.
2. Assists Q.M. Management and personnel regarding research and guidance of policies and procedures and government laws, rules and regulations.
3. Interacts professionally and is supportive of the individuals, employees, families and others associated with the agency.
4. Maintains flexibility within the weekly schedule as needed.
5. Other duties as assigned.
Qualifications :
To perform this job successfully, an individual must be at least 18 years old, hold a valid New York State Driver’s License, and be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and / or ability required. NOTE : Must meet criminal background checks through the Justice Center and the Office of Children and Family Services.
Education & Experience :
1. Associates Degree in Human Services, Quality Control Systems or related field and one (1) year experience with disabled adults OR High School diploma and three (3) years’ experience with disabled adults OR equivalent combination of education and experience.
2. Knowledge of regulatory issues, NYS Medicaid program requirements and regulatory requirements of healthcare corporate compliance preferred.
3. Computer related experience.
Language Skills :
Provide effective, two-way communication with people, both orally and in writing, with the ability to quickly organize and communicate thoughts and to understand communication from others in a verbal and written format.
Ability to read and interpret a variety of documents / instructions furnished in written, oral, diagram, or schedule form and to write routine reports and correspondence.
Ability to effectively present information informally in one-on-one or small group situations, as well as formal presentation to large groups.
Ability to effectively respond to common inquiries or complaints from individuals, staff, regulatory agencies, or members of the community.
Mathematical Skills :
Able to perform basic math functions (i.e. addition, subtraction, multiplication, and division, and percentages).
