Primary Function:
- A primary function of the Office Specialist is to oversee the Success VCS office, offering support, and coordination with various team members in student enrollments and graduations. Assignments may include compiling and analyzing data, coordinating multiple concurrent activities, and interacting with individuals and groups at most levels in the organization. Includes assisting during the semi-annual count, which will require additional hours.

Essential Duties and Responsibilities:
- Assist the Center Director, Registrar & Enrollment Specialist with a variety of responsibilities and special projects.
- Greets in a courteous, professional, and friendly manner to new prospective students and families by phone, written correspondence, or in-person communication.
- Assists and supports the enrollment team as needed.
- Transfer data from paper formats and spreadsheets (enrollment forms, transfer forms, Excel documents, etc.) into computer files.
- Data entry, tracking, and maintaining active and inactive students (including opt-out and graduate students) computers and hot spot serial numbers and statuses on technology asset spreadsheet. Responsible for contacting previous students, opt-out students, and problem-solving ways to get our computers/hot spots back to our Success BLC center to be refurbished and implemented back to our active students. Will also be responsible for returning original enrollment technology forms back to student files correctly.
- Track all student work permits in coordination with our Jobs coach. This includes employer contact information, and hours actually worked versus hours approved via work permit.
- Ensure that original student work permits are correctly filed after documenting them on the work permit track spreadsheet.
- File all student paperwork correctly and efficiently.
- Print and prepare appropriate enrollment forms and place them into correct color-coordinated folders
- Assist the Enrollment Specialist in coordinating with graduates and picking up/mailing their diplomas to graduate students.
- Monthly, cleaning the refrigerator and sending reminders about cleanliness if it becomes an issue.
- Office supply check and ordering monthly
- Verify data by comparing source materials (e.g., documents submitted), and cross-referencing from system databases, plus making phone calls/sending emails as it pertains to correcting data entry.
- Perform other duties as required and/or assigned by the Director
Qualifications:
- Experience and training providing the following abilities, skills, and knowledge:
- Must be efficient with Google Docs, Google Drive, Google Sheets, and Google Slides.
- Experience/skills with computer and computer software programs for student management systems.
- Ability to initiate and complete tasks with self-direction in a timely manner.
- Must have excellent organizational and attention to detail skills.
- Must be able to handle confidential information in a professional manner.
- Excellent English and grammar skills, proofreading skills, and oral and written communications skills.
- Ability to effectively operate various systems and office equipment.
- Successful online/alternative education or enrollment experience preferred.
- Strong interpersonal and public relations skills with an emphasis on customer service skills.
- Must exhibit a pleasant personality and positive attitude toward working with administration, staff, and community members. Evidence of ability to establish working relationships that result in mutual respect and have the ability to demonstrate caring and empathy skills towards students, families, and staff.
- Ability to handle multiple projects efficiently and effectively.
Job Type: Full-time
Pay: $20.25 - $25.82 per hour
Expected hours: 30 per week
