What you will do in this role
Atticus LLC is looking for an Executive Administrative Assistant to provide administrative support to the CEO as well as support to the Leadership team. This position offers variety and exposure to different facets of the company. Every day can be different, and you will become familiar with multiple parts of the business while supporting a cohesive Leadership team.
The ideal candidate will be adept at working well with others, anticipating needs before they arise, and multitasking to keep things running smoothly. This position will report to the CEO.
Responsibilities
- Proactively provide a full range of executive support, such as preparation of confidential documents, presentations, expense reports, scheduling appointments/meetings, composing and editing letters, memos and other policy documents, processing invoices, managing travel arrangements, composing routing correspondence and organizing and maintaining departmental documents.
- Oversee the calendar of the CEO.
- Anticipate the needs of the CEO and make decisions to contribute to an organized work environment.
- Prepare presentations and reports of exceptional quality with minimal supervision for high-level audiences.
- Plan and organize meetings with internal and external contacts including advance preparation of meeting materials and preparing follow up materials where necessary.
- Collaborates with internal functional disciplines on a weekly basis to arrange meetings with the CEO. This includes all weekly, monthly and annual cadence meetings.
- Researches, prioritizes and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature.
- Organizes and manages the agenda of the Leadership team; including follow-up, retrieval and recordkeeping of files, records and documents related to the agenda.
- Manages Leadership team travel schedule including independently coordinating travel plans, accommodations, agendas, required materials, documents and expenses.
- Files and tracks expense reports for CEO.
- Assists in planning and coordinating Fort 940 events (ex. Holiday Party)
Required Skills/Qualifications
- Associate's degree is required. Bachelor's degree is preferred.
- Minimum of five years of experience supporting C-Suite or above is required. Prior CEO support is a plus!
- Experience interfacing with internal executives as well as external executives from outside companies is required.
- Ability to handle confidential information, demonstrate discretion, and possess excellent judgment and tact.
- Ability to effectively engage with diverse individuals with different personalities.
- Ability to manage and think proactively.
- Multi-tasking skills, including managing multiple calendars simultaneously.
- Proficiency with Microsoft Office, including PowerPoint, is required.
- Ability to work in a fast-paced, fluid and dynamic environment
- Must have exceptional attention to detail
- Strong organizational and time management skills, and ability to prioritize
- Must be a self-starter and driven
- Excellent communication and interpersonal skills
