Title: Central Office Student Services Administrative Assistant Reports to: Director of Student Services Position Summary: The Central Office Student Services Administrative Assistant provides support to the Director of Student Services, Early Childhood Administrator, Team Chairpersons and Special Education Liaisons. Key Duties & Responsibilities: General Administration -Maintaining Student Services calendar, coordinating meetings and appointments for the Director of Student Services; -Responding to daily telephone and email correspondence from SPS administrators, staff and families; -On-going communication with Student Services administration, staff, and parents regarding documentation, inquiries, and resources; -Meeting weekly with Student Service Director to update all projects and coordinate future plans; -Ordering and maintaining office supplies for department; -Preparing responses to FOIA and FERPA requests, collaborating with the Director of Technology and District Attorneys as needed; Collaborating with Administrators, Staff, Families and the Community -Receiving, triage, routing, and responding to communications; -Problem-solving as initial contact; -Engaging others as partners; Student Registration -Greeting, engaging with, and guiding parents; -Supporting the completion of required forms; -Monitoring the submission of required documents; -Processing and routing the documents; Special Education Process -Receiving and processing invitations and submissions from the Team Chairs; ? Monitoring the completeness of submissions; -Managing the approval of forms; -Notifying the Team Chairs of communications received in Central Office; Liaison with eSped officials;Special Education Files -Collecting documents for central files; -Sharing documents with schools; -Updating central files; -Preparing records for sharing via FERPA and FOIA requests; -Responding to student file requests from other districts; Data Collection and Reporting -Collecting critical information for DESE submissions from Team Chairs and others; ? Collaborating with the Technology Department in the preparation of DESE data submissions; Special Databases (Researching, Developing, Updating, Distributing, Follow-up, Communications) ?
