Position Overview
The Assistant Property Manager will work closely with the Property Manager to handle daily administrative responsibilities, resident communication, and operational support.
Key Responsibilities
- Respond to emails, answer phone calls, and assist residents with inquiries.
- Review incident reports from door staff and follow up as needed.
- Process weekly deposits and manage resident billing, including HOA late fees.
- Review and track construction requests, ensuring proper documentation is submitted.
- Distribute resident communications and updates via BuildingLink.
- Maintain resident and tenant records in BuildingLink and key fob systems.
- Draft and send violation letters, association notices, and other communications.
- Coordinate and track work orders, maintenance tasks, and vendor service calls.
- Manage parking assignments, Fitness Center registrations, and equipment service issues.
- Audit storage lockers, parking spaces, and bicycle spaces as needed.
- Schedule move-ins, move-outs, and resident deliveries.
- Assist with front desk operations, including package management and resident access.
- Process invoices and submit for approval in the accounting system.
- Communicate riser shutdowns and construction updates to residents.
- Ensure all in-unit construction adheres to community standards and code compliance.
Qualifications
- Strong organizational skills and attention to detail.
- Excellent communication and customer service abilities.
- Proficiency in Microsoft Office and property management software (BuildingLink experience preferred).
- Ability to multitask and work efficiently in a fast-paced environment.
- Prior property management or administrative experience is a plus.
