The Assistant Registrar is responsible for the academic scheduling of course offerings across the University’s three schools including the management of course data in the student information system as well as the maintenance and reserving of academic space on campus. The Assistant Registrar demonstrates an understanding of office policies and procedures to guide and communicate as appropriate with faculty, staff, and students.
Primary Responsibilities:
Responsible for the creation and maintenance of all course offerings entered by 3 University schools for course scheduling and classroom assignments. Proactive review of data management and scheduling distribution to anticipate and resolve errors. Includes review of student course eligibility rules, course requisites, rooming requirements, and assessment (final exam) needs. Complete the academic room assignment process using the Workday Student Information System and CollegeNet’s 25Live room and space optimizer for classroom assignments and exams for each academic period. Responsible for training academic department staff and chairs on course creation and course section maintenance and the University’s classroom scheduling parameters. Provide guidance and support to academic departments, dissemination of scheduling guidelines, communicate process management updates, and the course production timeline. Create user documentation and keep documentation current as procedures and tasks change.
University Registrar’s Office primary functional administrator for the 25Live Scheduling software as it pertains to academic space and reserving on-campus review sessions. Responsible for utilization of CollegeNet’s 25Live for space analysis, optimization, and benchmarking. Set up imports to 25Live from Workday, initialize course section data via LYNX, and set up extract sets. Manage import/export error messages to ensure information is fed over in accordance with parameters set in the Workday connector. Responsible for maintaining and updating the University’s academic calendar in 25Live.
Support curriculum management related operations in the student information system database (Workday) including, but not limited to, program of study changes, academic overrides, academic requirements and program completion. Support the academic catalog publication within Watermark’s SmartCatalog tool for content edit management and catalog production.
Represent the office in areas of overall service, process and policy guidance, and support. Train front line staff and RAM Center staff on URO operations, business practices, and university academic policies and procedures. Troubleshoot and solve situations with students and faculty involving items such as academic progress, academic plans, registration, courses and schedules. Foster and maintain strong working relationships and communication with students, faculty and staff.
Assist as back-up to the front-line processing area as needed to support the day-to-day responsibilities of the office. Provide coverage and support for the University Registrar’s internal phone line as well as the Ram Registration and Financial customer service center. Represent the office as needed in trainings, orientations, working groups, and informational campus events.
Requirements/Qualifications:
- Bachelor’s Degree and 2-3 years of relevant higher education experience in a record keeping office
- Demonstrated knowledge in the tasks and responsibilities of a Registrar’s Office
- Demonstrated expertise with Student Information System databases (experience in Workday preferred)
- Advanced skills in Microsoft Office suite (including Word, Excel, PowerPoint)
- Excellent written and oral communication
- High level of initiative, technical aptitude, attention to detail, and organizational skills
- Strong analytic and problem-solving skills
- Ability to operate independently, manage multiple competing priorities, and exercise good judgement
- Ability to exercise discretion with confidential information, familiarity with FERPA (Family Educational Rights and Privacy Act)
