This role includes managing Ski & Ride School payroll, selling and scheduling lesson programs, and promoting other resort products such as lift tickets and rentals. Additional duties include providing administrative support to the Rental & Repair Shop, Summer Operations, and Day School.

POSITION SUMMARY:
The Recreation Services Administrative Coordinator oversees the administrative functions of the Sugarbush Ski & Ride School, with key responsibilities in frontline sales and reservations. This role includes managing Ski & Ride School payroll, selling and scheduling lesson programs, and promoting other resort products such as lift tickets and rentals. Additional duties include providing administrative support to the Rental & Repair Shop, Summer Operations, and Day School.
RESPONSIBILITIES:
- Manage the Ski & Ride School payroll, conducting daily and weekly audits to ensure accuracy.
- Operate the resort point of sale for Ski & Ride School and handle guest communication (emails and phone calls) two to three days a week or as needed.
- Assist the Director of Recreation Services in planning and organizing customer service to meet both regular and unexpected guest demands, including direct sales and customer interactions via phone and email.
- Make timely and effective decisions to resolve guest service issues, demonstrating clear, creative thinking and excellent communication skills.
- Prepare check requests, expense reports, purchase orders, and other administrative tasks.
- Collaborate with the Marketing team to update the website and other resort communications.
- Assist Ski & Ride School Supervisors in managing the onboarding and offboarding processes, ensuring all staff complete required training and paperwork.
- Provide administrative support to the Ski & Ride School Director, Supervisors, Day School, Rental & Repair, and Summer Operations as directed by the Director of Recreation Services.
- Assist with budgeting and other financial tasks.
- Assist with department projects as directed by the Director of Recreation Services.
- Collaborate closely with the Director in the creation and simplification of products and programs.
- Help coordinate, book, and track summer camps, seasonal programs, school groups, and other events.
- Communicate with all Managers and Supervisors regarding scheduling, staffing requirements, reservations, and other needs.
- Provide support as a staff member in the Day School and Rental Shop as required.
- Coordinate with various departments, including Season Pass, Tickets, Vacation Sales, Food & Beverage, Ski Patrol, Mountain Ops, Marketing, Executive Committee, Events, and others.
- Support the Sugarbush Vision, Values, and Safety procedures.
QUALIFICATIONS:
- High School education required; college preferred.
- Computer skills, including Windows, Word, and Excel, proficiency required. MS Access skill desirable. RTP Management and Sales experience preferred.
- Experience with Guest Service, Resort Management, or Education Program Management required. Ski School or education program management experience preferred.
- Coordinator must be organized and efficient in handling office jobs such as paperwork, phone, computer work, and other administrative tasks.
- Must be timely in response to contacts and knowledgeable about Recreation Services programs. Thorough and extensive knowledge of resort wide POS and phone reservations systems.
- Requires frequent weekend and holiday work, including long hours and frequent six-day weeks during the season.
