Primary Responsibilities
Summary
Function: The Assistant Director of Admissions- Operations, under the direction of the Director of Admissions and Executive Director of Enrollment Services, has specific responsibilities for overseeing the coordination of application, automation, and admissions processing as well as customer and support services.
Scope: Determines eligibility for admission, verifies qualifications for enrollment, maintains records, creates and executes reports, and supplies data that supports student application and registration (University wide).
Duties
Essential:
1. Serves as a member of the Sul Ross State University Admissions team and establishes applicant records and/or files into the Banner system; oversees and manages daily operations within the Office of Admissions including but not limited to automation processes within the Banner system and ApplyTexas.
2. Determines undergraduate admission eligibility; assesses applications, records, and related materials, such as high school and college transcripts and college entrance exam reports for college readiness placement; research student history to resolve duplicate student records.
3. Following admission and registration procedures, supports students through enrollment processes and exercises good judgment in the application of federal, state, and University policies and practices related to admissions and/or enrollment services functions.
4. Processes changes in admissions and student records, as required and appropriate; assists students, faculty and/or other departments by phone, e-mail, virtually or in-person with problems, procedures, and/or general information pertaining to application discrepancies prior to assigning an admission decision.
5. Completes routine office work and processes admissions decisions in a timely and efficient manner; works closely with University Recruiters and the Registrar’s Office to ensure accurate processing of admissions documents received, transcript articulations, etc.; resolves student enrollment issues including, but not limited to, admissions/registration holds, duplicate records, suspended applications, application discrepancies, and missing/incomplete documentation.
6. Follows procedures for records management; maintains accurate and up to date records including optical scanning and storage of applications and supporting admissions documents; utilizes the University CRM to upload documents received, notates any/all interactions for reference, and assigns/reviews to-do items as needed with University ,Recruiters.
7. Assists in the creation and maintenance of Admissions Operations policies and procedures manual, training materials, and materials for students and/or team members; responsible for the maintenance and upkeep of ApplyTexas (opening/closing of applications, users, deployments, etc.).
8. Complies and creates admissions reports or data regarding admitted and enrolled students; works as needed with the Information Technology Department/Ellucian to develop tracking
mechanisms and/or troubleshooting/reporting of Banner issues; completes CBM correction reports as needed or assigned by the Director of Admissions.
9. Works closely with University International PDSO; acts or serves as the DSO/University representative for SEVIS/F-1 international student admissions and record keeping compliance procedures; stays in contact with SEVIS representative(s) for training opportunities and/or general inquires.
10. Attends Admissions team staff meetings and may serve on committees as needed or as directed by immediate supervisor.
11. Attends the workplace regularly, reports to work punctually, and follows a work schedule to keep up with the demands of the University; includes trainings and/or conferences.
12. Working hours may include evenings, holidays or weekends depending on deadline requirements and special events.
13. Displays a clear understanding of the requirements of the Family Education Rights and Privacy Act (FERPA), regarding the privacy of student records and general information. Maintain the confidentiality of all conversations, incidents, and information processed and maintained by the University.
14. Responsible for personal safety and the safety of others and must exercise due caution and always practice safe work habits.
