JOB TITLE : Part time Tractor Trailer Dispatcher
REPORTS TO : Owner
PURPOSE : Dispatch duties to achieve a high level of customer satisfaction.
ESSENTIAL FUNCTIONS :
Seek and schedule work for our tractor trailer fleet.
Develop a relationship with drivers and customers to improve performance and encourage retention.
Ensure driver and other transportation safety procedures are followed.
Ensure customer satisfaction through professional and on time deliveries.
Communicate with customers & sales representatives about freight details, delivery times, and special handling requests.
Efficiently schedule drivers / routes for economical deliveries.
Supervise safe loading / placement of material on trucks.
Log and track required documentation in relation to all applicable deliveries. Log and resolve customer or public complaints to continuously find ways to improve customer service.
Process all paperwork related to delivery / fulfilled orders and turning into credit for invoice processing.
Maintain records of dispatched calls, driver routes, route changes, as well as delivery and pickup times.
Monitor transportation regulations and laws to ensure truck drivers comply.
Seek out new ways to generate revenue and increase profitability.
Assist with local advertising of the fleet.
Assist with finding owner operators to help with capacity.
All other duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES :
Competencies :
Excellent written and verbal communication skills.
Positive customer service ability, both internal and external
Good planning and organization skills.
Proficient in Microsoft office and possess general computer skills.
Ability to learn and use proficiently dispatch and GPS software.
Ability to read, analyze and interpret customer requests, delivery orders and other related trucking documentation.
Ability to calmly and effectively provide directions, present information and respond to questions from truck drivers, customers and office staff.
Education / Experience :
High school diploma or general education degree (GED); plus one to three years related experience and / or training; or equivalent combination of education and experience.
2 years of experience in a similar dispatching role.
PHYSICAL DEMANDS :
Must be able to sit, stand, walk and drive as required by the job duties.
Position requires use of fingers, hands and arms on a consistent basis for keyboarding and phone work.
