The anticipated salary range for this role is between $48,000.00 and $95,000.00. The specific salary offered to an applicant will be based on their individual qualifications, experiences, and an analysis of the current compensation paid in their geography and the market for similar roles at the time of hire. The role may also be eligible for an annual discretionary incentive award. In addition to cash compensation, SMBC offers a competitive portfolio of benefits to its employees.

Role Description

As an Administrative Assistant, you will perform diverse duties and administrative functions requiring extreme confidentiality, initiative and sound decision-making and coordinate efforts with the other assistants supporting the technology team within the CIO organization. You will rely on excellent organizational skills and the ability to effectively handle multiple priorities. You will need to adapt procedures, processes, and techniques to the completion of assignments and in line with the department's activities and goals. Duties also include meeting and travel coordination, expense and heavy invoice processing, phone coverage, and reviewing incoming correspondence / emails and preparing responses. Additionally, you will exercise independent judgment, escalating serious or unique problems to higher levels.

Role Objectives: Delivery

  • Manage extensive and complex calendars for Senior Executives in a fast paced and dynamic environment
  • Schedule demanding meetings; adjust and prioritize last-minute logistical changes
  • Coordinate travel arrangements domestic/international (air, hotel accommodations and ground transportation); prepare detailed itineraries and assure accuracy and timely delivery to traveler
  • On-board new hires and assist with hard-ware purchase and delivery to suite specific unique requirement for everyone. Set up all their appropriate introduction meetings, administrative needs, etc.
  • Reconcile and complete expense reports via Concur in compliance with policies
  • Ensure timely completion of internal governance obligations for the broader team
  • Assist with the organization of events (Townhalls / Offsites /Offsite / All-Hands)
  • Liaise with outside vendors and anticipate needs to facilitate relationship management
  • Providing back up support to the Executive Assistant of the CIO

Qualifications and Skills

  • Proven experience working as an executive assistant in Financial Services supporting high-performing teams
  • Excellent written and oral communication and negotiation skills; ability to deal effectively with people at all
  • levels across a multicultural environment; ability to maintain and respect confidentiality and to build/maintain effective relationships with internal parties and external organizations.
  • Ability to accurately and efficiently maintain the calendar, scheduling internal and external meetings, communicating with SMBC employees and external parties, and planning/coordinating travel, as appropriate.
  • Highly organized, discrete and detail-oriented. Ability to multitask, prioritize and self-manage own time; demonstrates a flexible attitude; embraces change; results-driven.
  • Undertakes projects and produces quality/timely results; ability to manage a heavy work volume and meet deadlines; problem solver – able to work with other teams and staff members effectively to reach a viable solution and goal.
  • Demonstrates the highest standards of ethics, integrity, honesty, diversity, and discretion. Demonstrates a strong service and collaboration focus.
  • Works with little guidance and applies independent judgement routinely; exercises effective problem solving/judgment in escalating unusual situations and/or other applicable parties internal to SMBC.
  • Fluency in office productivity software: MS Office (MS Outlook, MS Word, MS Excel, MS PowerPoint)

Additional Requirements

SMBC’s employees participate in a Hybrid workforce model that provides employees with an opportunity to work from home, as well as, from an SMBC office. SMBC requires that employees live within a reasonable commuting distance of their office location.
