Client Services Specialist: SALARY $41,600 plus BONUSES

High quality analytical and administrative service role to support a variety of essential business tasks related to our FIA and IUL product lines. Position requires the assurance that both internal operations and customer needs are being met. Positively promote our corporate image by representing the firm both internally and externally. This role requires a well-rounded individual with strengths in Attention to Detail, Efficiency with Accuracy, and Relationship Building skills.

DEPARTMENTAL FOCUS: Client Services- FIA and IUL product lines

Principal Job Duties:

  • Administrative and Sales Support at IUL sales seminars and client events. Includes but not limited to mail fulfillment, communications with guests both pre and post event, printing and stuffing packets, set up and take down, scheduling appointments for the IUL Agent, and any other tasks as required by the Agent or the Events Manager.
  • Handle all steps to prepare for new IUL client sales presentations. This includes but is not limited to; requesting IUL illustrations, updating Right Capital to build proposals as needed, updating client records and tracking activity in Redtail, working with scheduling team to get appointments booked, and anything else as required by management.
  • Prompt and accurate handling of IUL applications. Conducting suitability assessments before applications are submitted, tracking and supporting health underwriting requirements, working with upper management as needed to help ensure successful processing, and communicating with client throughout the process for assurance and efficiency.
  • Handle all steps to onboard new IUL clients. This includes coordinating and tracking money transfers & funding (see next bullet) and ensuring that IUL policies are issued. Scanning all documents into the Cloud storage system- Microsoft 365 for record keeping and updating client files in the CRM- Redtail and Right Capital where appropriate.
  • Facilitating IUL policy funding through the 1035 Exchange Transfer process, or via direct funding from the client. This includes the initial premium funding as described above, but also any ongoing payments made by the client and/or transfers to the policy from the Premium Deposit Fund. This will require problem solving, client engagement, and working effectively with the financial institutions and fund facilitators. Keeping accurate and up to date records. Excellent customer relations throughout this process to ensure client satisfaction.
  • Preparing IUL policy binders with accuracy, for the delivery meeting. Scanning all documents to send to appropriate carriers/custodians and saving to client files.
  • IUL Annual Review prep-work. This includes tracking IUL clients' anniversary dates, downloading and prepping annual statements, updating money tracker reports, preparing documents for signature, and working with the scheduling team to facilitate annual review meetings with the Agent. Excellent customer relations throughout this process to preserve their business for the firm.
  • Maintain good organization and prompt fulfillment of business records. Work within our CRM- Redtail and within the Right Capital financial software, to keep client records up to date year-round, across multiple lines of business, as well as within our Cloud storage system- Microsoft 365 to scan files. This includes updating client accounts with renewed up to date balances from carrier portals, cleaning up statuses, categories, quick lists, and maintaining integrity of data in all systems for both the FIA and IUL business lines.
  • Provide customer support as needed to facilitate service matters such as: claims and withdrawals (including RMD’s), beneficiary and/or other changes, IUL money-adds, IRA contributions, IUL allocation changes, quoting, reports, and comparisons. This includes tracking and accountability with regular updates to client as needed and excellent record keeping in the client’s files.
  • Handle all aspects of the death claim process when notified of a client’s passing. This includes providing emotional and professional support to beneficiaries during the death claim process, as well as overseeing paperwork and processing.
  • Tracking/Reporting IUL premiums and production, including Stat and ROI Tracking for IUL. This may require coordinating with the FIA and/or AUM Money Chasing teams. Will need to work closely with them to ensure accuracy across all lines and coordinate client communications so you aren’t duplicating efforts.
  • Following all policies and procedures for IUL business management, including the year-round maintenance tasks from workflows and scheduling activities. In this role, you will be expected to also assess processes when appropriate and come up with ideas for improvement/efficiency as needed. You’ll work closely with the Director of Operations when you have a suggestion for modifying a task or process before making any changes to standard operating procedures, so that we can consider overall business needs, rules, and regulations. This will be an ongoing function as we continue to develop and improve processes for this product line and will requiring Team Collaboration.
  • Expand personal job knowledge by participating in educational opportunities; reading industry specific news; following financial markets; maintaining personal networks; and participating in professional organizations.
  • Any other business essential tasks as required or requested by management.

Cross Trained - Team Support Duties:

  • Assist with Annuity applications and suitability review.
  • Cross trained to step in and work an Annuity sales seminar if/when needed.
  • Assist Sales & Marketing efforts with the digital & printed presentations for the firm; to include creative production and distribution.
  • Help to complete projects and special assignments by establishing and/or meeting objectives as required by upper management and team leads.
  • Filing, Scanning, Labeling, Grouping, and other back-office support functions for the business at large.

Required Skills: Organization, Prompt Responsiveness, Accuracy, Professionalism, Caring Client Relations, Written and Verbal Communication, Time Management, Good Memory and Recall Capabilities, Strong Problem-Solving skills, Attention to Detail, Willingness to Learn, Proficiency with Microsoft Excel, Word, PowerPoint, and Outlook. Experience with Data Management and Statistical Analysis would also be helpful, but is not required.

Pay: $41,600.00 - $61,600.00 per year
