Job Summary
The Office Manager is responsible for overseeing the daily operations of the office and its various departments. This position creates and maintains a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.
Responsibilities
- Maintain the office condition and arrange necessary repairs.
- Partner with Human Resources to update and maintain office policies/administer employee paperwork as necessary.
- Coordinate with appropriate departments on all office equipment.
- Inventory support – organize, label, count, transfer forms, pricing updates, RMA/Warranty submissions.
- Answer phones and provide general support to visitors.
- Counter parts sales – prepare tickets for walk-in customers & submit to A/R Manager.
- Receive/process customer payments & submit documentation to A/R Manager.
- Request customer exemption certificates as applicable.
- Enter new leads in Clickup and delegate the new lead task to Project Managers.
- Create Parts & Service Job numbers in Foundation & b2w track.
- Weekly Job Audits for site address, tax settings, geo area, division, and start dates.
- Location team credit card receipt submissions to A/P support.
- Complete Petty cash log entries, count cash monthly with Location manager and submit to A/P Manager.
- Submit expense reports/mileage reimbursements for location team.
- Disperse Fleet insurance cards to location team.
- Assist with renewal of new/annual vehicle license/registrations as needed.
- Assist in onboarding process for new hires as needed.
- All other duties as assigned including support to location team and Location Manager.
Required Skills/Abilities:
- Proven experience in an office setting
- Knowledge of Office Manager responsibilities, systems, and procedures
- Proficiency in Microsoft Office, Foundation, and ClickUp
- Familiarity with email scheduling tools
- Excellent time management and organizational skills
Education/Experience:
- High School Diploma or Equivalent
- Prior experience managing an office environment preferred
Physical Requirements:
- Must be able to lift up to and in excess of 40 pounds.
- Must be able to sit or stand for extended periods of time
