We are seeking a highly organized and proactive Executive Client Service Assistant / Manager to support our leadership team. This individual will play a crucial role in ensuring the smooth operation of day-to-day activities by providing office management for our corporate office in conjunction with administrative, logistical, and strategic support for various business functions, including business development, government relations, legal, and communications. The ideal candidate will have exceptional interpersonal and organizational skills, strong initiative, and the ability to handle sensitive information with the utmost confidentiality.
Key Responsibilities:
- Manage the corporate office, by scheduling meetings and appointments, arranging for meeting rooms or facilities, and making travel arrangements.
- Prepare and edit correspondence, presentations, and reports as needed.
- Monitor and prioritize incoming emails and communications, ensuring timely responses.
- Act as a point of contact between the executive and internal/external stakeholders.
- Oversee the preparation of meeting agendas, and follow up on action items.
- Maintain organized filing systems for both physical and digital records.
- Coordinate events, meetings, and client engagements, ensuring all details are attended to.
- Maintain confidentiality and handle sensitive information with professionalism and discretion.
- Assist with ad hoc projects and tasks as needed.
Qualifications:
- Bachelor's degree, with a minimum of 2 years of experience in Executive Administration, Public Relations, Communications, Business Development, Legal Administration or similar role or a minimum of 6 years of experience.
- Exceptional interpersonal and communication skills.
- Exceptional organizational and time-management skills.
- Detail oriented and ability to prioritize and meet deadlines.
- High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with Client Resource Management software, project management tools and virtual meeting platforms is a plus.
- Strong initiative and ability to work with minimal supervision
- Demonstrated ability to maintain confidentiality and handle sensitive information.
- Professional demeanor and the ability to interact effectively with clients and team members.
- Ability to work fully in-office with some flexibility as needed.
