Position Summary
The Accounting Assistant Controller is responsible for accurately recording all daily cash receipts and accounts receivable journal entries in the general ledger system. Key responsibilities include managing student finance accounts, handling student communications, and collaborating with both the Admissions Department and Scholarship Committee during student onboarding process. Additional duties involve processing payments for Sky Summer Camp, tracking overdue accounts and reconciling monthly sub-ledger accounts. The Assistant Controller supports the Controller with monthly balance sheet account reconciliations, sales tax reporting and month-end close procedures.
Essential Functions
· Adheres to the Summit International School of Ministry Statement of Faith.
· Manages student finance accounts including setting up new student accounts, recording student payments in accounting software, maintaining ongoing communication with students regarding school fees, account balances and other questions, and reconciling student accounts.
· Serves as the administrator of the Scholarship Committee, reviewing new scholarship applications, tracking scholarship awards and funding, attending weekly Committee meetings. Manages funding of scholarship funds in accordance with set budgets.
· Prepares and files the monthly sales tax return.
· Records all cash receipts and accounts receivable transactions daily.
· Prepares letters and receipts for donations to the School and Church.
· Processes Summer Sky Camp payments, tracks delinquent accounts, reconciles monthly accounts, verifies and records cash sales daily.
· Prepares weekly bank deposits and processes at banking institutions.
· Reconciles cash bank accounts and third-party payment accounts monthly.
· Reconciles general ledger accounts, tracks activity and prepares reports to the Controller as needed.
· Assists with accounts payable procedures, as needed.
· Assists with other duties as needed and assigned.
· Manages prepaid accounts, including postage and EZ pass.
Additional Responsibilities
· Actively participates in staff and/or departmental devotions, including but not limited to, worship, speaking, discussion, and prayer.
· Attends Student Chapel Services as invited by the President, Department Leader and as time permits.
Qualifications and Competencies
· Associates Degree in Accounting, Finance, Business Administration or related field.
· 1-2 years of accounting experience with cash receipts, journal entries and accounting software.
· Detail oriented, organized and ability to multi-task in a noisy environment.
· Good verbal and written communication skills, cross-departmental collaboration and adaptability.
· Solid working knowledge of Microsoft 365 Suite, especially strong knowledge of Excel.
· Must maintain a current and valid U.S. driver license.
