RESPONSIBILITIES:

  • Consistently supports and maintains the Mission, Core Values and expected customer service behaviors of Casper and surrounding area clinics.
  • Be a Meditech super user and support clinic staff to effectively use the Electronic Health Records (EHR) System, including comprehensive knowledge of all components of the system.
  • Lead the clinic staff in the EHR to address issues, ensure maximum utilization.
  • Support attestation of providers for Meaningful Use
  • Provides oversight of clinic expenses; optimizes and adjusts staff schedules to align with patient volumes, assures that daily schedules are being filled during normal operational hours, minimizes overtime, ensures cost effective coordination and procurement of clinic supplies and services, maintains clinic expenses within budget.
  • Work closely with the Business Office Manager to ensure efficient and effective clinic flow and revenue cycle.
  • Support billing office to ensure medical staff meet insurance credentialing requirements.
  • Stay informed on clinic best practices and current health information trends by reading health information and community health practice journals, attending seminars and conferences as funding and capacity allows, and displaying a proactive attitude and ability to resourcefully access outside expertise (Wyoming State Board of Nursing, Wyoming Department of Health, American Academy of Pain Medicine, etc.)
  • Follows the guidelines related to the Health Insurance Portability and Accountability Act (HIPAA), designed to prevent, or detect unauthorized disclosure of Protected Health Information (PHI) Demonstrates complete discretion when discussing patient information; adheres to strict standards regarding patient confidentiality, informed consent and disclosure as required by HIPAA.
  • Implement effective processes and practices that support patient revenue budget goals, efficiency and productivity standards and overall clinic functioning (i.e. no show and late policy, repeated no shows, reminder and follow up policies, scheduling and, walk-in appointment practice, etc.).
  • Provides Administration and Providers with financial reports and overall clinic information monthly.
  • Ensures quality and Meaningful Use measures are met according to CMS guidelines.
  • Work with Pain Management Providers and Chief Operations Officer, support implementation of clinical policies and protocols, and documentation of clinic processes
  • Support compliance with all state and federal laws related to clinical operation
  • Coordinates all front and back-office activities; including timely and accurate phone management, scheduling of new and existing patients, coordinates staff and provider schedules to ensure appropriate coverage and time management; evaluates and improves clinic workflows as needed.
  • Promotes good stewardship of hospital resources while ensuring quality patient care.
  • Collaborates with hospital departments to resolve operational problems.
  • Supportive of the compliance program and demonstrated by:

a. Upholding the Code of Ethics and Corporate Compliance.

b. Adheres to and helps to enforce all compliance policies relevant to his/her area.

c. Assures timely compliance education as requested by the Compliance Officer and/or through corporate initiatives.

  • Sets an example to all staff in their daily activities.
  • Coordinates/assists in orienting and training new employees.
  • Serves as a resource person for departmental employees in resolving patient care problems.
  • Ensures clinical staff observes, records and reports patient/client condition and reaction to drugs and treatments to provider.
  • Maintains an operating environment that assures effective, efficient, safe operation of the clinic and responds to the patients’ and clinicians’ needs.
  • Monitors the appointment schedule to ensure the schedule reflects the ability to provide patient care services in a timely manner.
  • Reviews clinician/staff schedule and management of patient care responsibilities and discuss identified issues.
  • Monitors and changes staff time schedules to ensure the appropriate availability of staff needed to allow the delivery of effective and efficient patient care services at the time of the first scheduled appointment of the day.
  • Evaluates patient check-in and checkout process to ensure compliance with established procedures.
  • Interviews, hires, and trains new staff.
  • Establishes, promotes, and maintains a positive working relationship with clinicians.
  • Coordinates the procuring of medical, office supplies and equipment with the appropriate staff to ensure the availability of adequate equipment and supplies required to provide patient care services.
  • Ensures timely repairs and proper functioning of office and medical equipment.
  • Assists the Chief Operations Officer in the planning and evaluation of patient/client care.

(a) Ensures correct documentation and recording of all pertinent information in the patient's chart.

(b) Ensures appropriate level of support provided to clinician or physician during examinations, treatments, and procedures. Ensures staff maintenance of aseptic technique during all procedures and treatments.

(c) Ensures clinical staff observes, records, and reports pertinent patient information to the provider.

(d) Monitors strict adherence to universal precautions as established by the Center for Disease Control and Prevention, Occupational Safety and Health Administration.

(e) Demonstrates a thorough knowledge of infection control procedures; strictly adheres to policies and procedures.

(f) Maintain current knowledge of professional licensing and scope of practice requirements for clinical staff, ensuring that staff maintain required licenses and credentials

  • Monitors preparation of examination rooms; daily to include thorough cleaning equipment and examination rooms after each procedure.
  • Takes action(s) necessary to maintain smooth patient flow and informs staff of issues affecting the ability to deliver timely patient care within industry standards.
  • Monitors staff management of incoming telephone calls to providers. Ensures communication of correct instructions to patient, client and family regarding medications and treatments including documentation of instructions/advice in the patient medical record.
  • Supports and participates in continuing education and other appropriate experiences to improve professional competence.
  • Always presents a positive and professional demeanor.
  • Complies with organizational policies and procedures.
  • Oversee appropriate actions related to safety and emergency preparedness.
  • Support compliance with all state and federal laws related to clinical operation.
  • Consistently on time and ready to begin work at the start of the workday. Does not abuse the availability of personal time off.
  • Behave and dress in a professional and courteous manner consistent with the facilities Standards of Behavior.

OCCUPATIONAL EXPOSURE

  • Category I exposure to blood borne pathogens, frequent exposure to chemical hazards and radiation hazards
  • Bachelor’s degree in health administration, business administration, nursing, or other related fields or the equivalent in experience.
  • Must have at least 2 years of health management experience or a minimum of five (5) years clinic experience
  • CPR/BLS certification

JOB SUMMARY: Responsible for assuring that all day-to-day operations in the clinic are completed before the end of the business day. Will collaborate with Providers and staff to ensure the safe, effective, and efficient delivery of care resulting in best-in-market experience for patients and the referring community. Coordinates all operational and service aspects of assigned clinic, including the oversight of the office staff, patient and staff scheduling, quality and patient satisfaction efforts, regulatory compliance, and expense management.
