Position Summary

The Facilities Supervisor is responsible for managing the daily operations of building maintenance, compliance, and improvement activities, ensuring the safety, reliability, and efficiency of hospital facilities. This role involves supervising maintenance staff, managing external contractors and vendors, leading small capital projects, and ensuring adherence to local, state, and federal regulations, including DNV (Det Norske Veritas) accreditation standards for critical access hospitals. The Facilities Supervisor will also be integral in developing policies, procedures, and performance improvement initiatives, supporting the hospital’s strategic planning efforts, and fostering a high-performing and compliant facilities team.

Job-Specific Duties And Responsibilities

  • Supervision of Maintenance Personnel
    • Oversee a team of maintenance staff, assigning work orders and ensuring efficient scheduling of tasks to minimize disruptions to hospital operations.
    • Conduct inspections of hospital facilities, identifying maintenance needs or safety concerns.
    • Ensure that maintenance team members are trained on safety protocols, proper procedures, and hospital-specific standards.
  • Project Coordination and Management
    • Lead the execution of small construction or renovation projects, including the development of project timelines, cost estimates, and implementation strategies.
    • Ensure compliance with local building codes, safety standards, and environmental regulations while managing internal and external resources.
    • Facilitate communication with stakeholders, including hospital leadership, vendors, and regulatory agencies, to ensure alignment and successful project outcomes.
    • Ensure that projects meet DNV standards for quality and patient safety during construction or upgrades to healthcare facilities.
  • Vendor and Contractor Oversight
    • Manage relationships with external vendors and contractors, ensuring quality work and compliance with the hospital’s safety standards and applicable regulations.
    • Evaluate vendor performance, ensuring adherence to contracts and completion of projects within budget and on schedule.
    • Verify that vendors comply with DNV’s standards for healthcare facility management and safety protocols, particularly in the event of third-party services.
  • Compliance and Regulatory Oversight
    • Ensure the hospital’s facilities comply with local, state, and federal regulations, including building, fire, life safety, and environmental standards.
    • Serve as the point of contact during regulatory inspections (e.g., DNV, local fire marshals), ensuring that all documentation and processes meet compliance standards.
    • Assist with emergency preparedness drills, safety inspections, and corrective actions as required by DNV and other regulatory bodies.
    • Maintain records and documentation to demonstrate compliance with regulatory and accreditation standards, ensuring that audits are passed successfully.

  • Policy and Procedure Development
    • Develop, implement, and update facilities-related policies and procedures to ensure operational efficiency, safety, and compliance with healthcare regulations.
    • Support the development of emergency preparedness plans, incorporating DNV requirements for disaster preparedness and response.
  • Staff Development and Performance Management
    • Conduct performance evaluations for facilities staff, identifying opportunities for skill development and ensuring adherence to hospital standards.
    • Mentor team members, providing coaching and support to promote professional growth and maintain high-quality performance.
    • Address performance issues as they arise, using constructive feedback to maintain an effective and compliant workforce.
  • Preventive Maintenance and Equipment Management
    • Oversee preventive maintenance programs, ensuring that equipment and building systems are maintained to maximize longevity and minimize downtime.
    • Review equipment performance data to identify areas for improvement and recommend upgrades or repairs as necessary.
    • Ensure that building systems (e.g., HVAC, plumbing, electrical, and medical gas) are maintained according to DNV standards, and corrective actions are taken for any deficiencies.
  • Budget Development and Management
    • Develop and manage the facilities department budget, ensuring that expenses are tracked, justified, and aligned with hospital priorities.
    • Monitor and control spending related to facility operations, including routine maintenance, projects, and contracted services.
    • Identify opportunities for cost savings or more efficient use of resources while maintaining operational effectiveness.
  • Performance Improvement Initiatives
    • Lead or participate in performance improvement projects to optimize facility operations, enhance service delivery, and promote sustainability.
    • Collaborate with hospital leadership and department heads to identify areas for improvement, including energy efficiency, waste reduction, and operational effectiveness.
    • Support initiatives aimed at improving patient and staff safety, and regulatory compliance, in alignment with hospital goals.

  • Other Duties
    • Daily support and oversight for the hospital’s medical equipment management program.
    • Support additional Facilities related initiatives and tasks as directed by the Director of Facilities.
    • Collaborate with department leaders and staff to address unique risks, challenges, or improvement opportunities.

Required Education And Experience

  • Education
    • High school diploma or GED required.
    • A bachelor’s degree in facilities management, engineering, or a related field is preferred.
    • Certifications such as Certified Healthcare Facility Manager (CHFM) or Certified Healthcare Operations Professional (CHOP-B) are highly desirable.
  • Experience
    • Minimum of 5 years of facilities maintenance or operations experience, with at least 3 years in a healthcare or hospital environment.
    • At least 3 years of experience in a supervisory role, with proven expertise in managing teams and projects, preferably in a healthcare or institutional setting.
Required Knowledge, Skills, And Abilities

  • In-depth understanding of regulatory compliance in healthcare, with specific knowledge of DNV standards related to life safety and facilities management.
  • Strong project management skills, including budgeting, resource allocation, and vendor management.
  • Excellent communication, organizational, and interpersonal skills.
  • Ability to solve complex facility-related problems and prioritize multiple demands.
  • Proficiency in facilities management software and the Microsoft Office Suite.
  • Ability to lead, inspire, and develop teams to meet organizational goals effectively.
