ADMINISTRATIVE ASSISTANT/RECEPTIONIST
JOB FUNCTION AND RESPONSIBILITIES:
· Answer phone calls and transfer phone calls to appropriate person and/or take messages.
· Communicate with General Public as well as Caseworkers, Parents, as the first point of contact.
· Prepare fax sheets as needed and fax documents as assigned or needed.
· File Incident Reports in the appropriate youth files.
· Fax/email out all Incident Reports to caseworkers, etc.
· Distribute Incident Reports to Group Leaders after faxing/emailing out.
· Critical Incident Reports will be handled differently –check with Management team
· Use BestNotes to enter all information for all new admissions, confirm all contacts, assist with setting appointments for all medical, dental, vision, hospital, counseling, lab work, psych evaluations, court dates, visits, etc., update approved contacts for youth and remove discharged youth and contacts from current list
· Log all phone calls and visits for youth.
· Updates contact sheets for the dorm binders
· Log all contacts for youth in their files.
· Maintain Home Pass files, Visitation Log files, Business Visitor Book, Phone Log Book and transport files at front desk.
· Collect mail and assist in distribution to youth.
· Prepares and prints facility money (token economy) for youth each week or as needed. (Point sheets are turned in every Monday, boys are paid by Wednesday every week)
· Completes discharge paperwork for youth prior to discharge, obtains appropriate signatures and faxes/emailed out the discharge paperwork to the appropriate persons.
· Completes inventory sheets with of all inventoried items prior checking out.
· Insure the group leader and youth fill out the appropriate home pass paperwork correctly and faxed/emailed the home passes to the appropriate persons. (If the passes are not correct, return them to Group Leader for correction.)
· Assist Med Management with ordering Rx, if needed.
· Communicate with Caseworkers, Juvenile Probation, General Public etc. as directed.
· Prepare and print weekly schedule for transporter and post one in staff closet and give one to school.
· All other duties as assigned.
