FUNCTION: Serves as Lifestyle (Activities) Guest Services for the community association (“Association”) at Sun City Lincoln Hills. Responsibilities include providing patrons with prompt, courteous service. Processes registration for activities, collects payment and fills out proper receipts. Verifies resident status, checks out supplies and equipment, and advises residents of rules, regulations and general information. Performs assigned projects as directed by manager. Ensures that all programs and services are conducted and fulfilled in a manner consistent with the goals and objectives of Sun City Lincoln Hills Community Association.

RESPONSIBILITIES:

  • As a primary point of contact for the Association, interact with residents and members of the public in a friendly and receptive manner.
  • Review monthly Compass information to provide accurate information on department activities and answer general questions regarding the Association.
  • Be familiar with available resources including but not limited to community website, ARC, Compass Advertising, Catering and Spa.
  • As appropriate, refer questions to appropriate Department personnel.
  • With computer software, use registration form/ liability release to register residents and guests for special events, trips, classes, and programs offered by the Association and other departments.
  • Collect all forms of payment for Association transactions, and issue proper receipt.
  • Provide waivers and supporting documents.
  • Based on established guidelines, issue refunds or exchanges.
  • Complete end of shift and end of day reporting, including balancing all receipts to accounts and sales. Make deposits.
  • Prepare scheduled deposits for Kilaga Springs safe and verify contents for bank pick up.
  • Follow standard procedure to create records and prepare bags for bank transfer. Immediately report inaccuracies to manager for escalation.
  • Verify status of participants to ensure they are residents/resident guests, prior to enrollment.
  • Guest Services, by walking hallways, room corridors and visually observing activities, to ensure resident safety, and to assure rooms are clean, properly set up and schedules are maintained.
  • Issue repair work orders as needed.
  • Follow standard procedure to ensure promotional materials are current and maintained in all display areas.
  • Perform clerical duties including, but not limited to, telephone, data input, word processing, faxing, photocopying, distribute keys and rented items, sign out wheelchair, Guest Services/ request office supplies, sorting, filing, etc.
  • Maintain lost and found, enforce regulations when maintaining or posting Resident Classified ads.
  • Interpret and prepare information using PowerPoint to make hall signs.
  • Maintain CPR/AED and First Aid Certification valid for two years.
  • Call emergency personnel or assist as needed in emergencies.
  • Complete and submit incident report.
  • Attend and participate in monthly staff meetings.
  • Read daily communications and Association and department updates through Daily News, Enews, and Emails.
  • Must be able to work at any Activities location and work extended hours, evening, days, weekends, and holidays as required.
  • Other duties as assigned.

PHYSICAL REQUIREMENTS:

· Must be able to operate all standard office equipment.

· Ability to move about, lift, grasp, push, pull or move weight up to 25 lbs.

· Ability to express or exchange information by means of oral communication. Must speak the English language in a clear and understandable voice.

· Must be able to interact with all types of individuals, be mentally alert, detail oriented, and with good reasoning skills.

ENVIRONMENTAL REQUIREMENTS:

1. Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances.

2. Must be able to work effectively and professionally in an environment which may be stressful due to adversarial situations resulting from the proper performance of duties.

3. Must be able to work in a well-lighted, temperature-controlled area sufficient in size to allow freedom of movement to accomplish tasks. May also be exposed to the outdoor elements in an uncontrolled temperature with varied lighting.

MINIMUM QUALIFICATIONS:

Education: High school graduate or equivalent.

Experience: Minimum of 1 year experience in a customer service environment preferred.

Skills: Word processing, experience using a variety of computer software including outlook, word and excel, calculator, FAX, copier, telephone, work on a shared drive, create folders, and operate PC.

Personality: Ability to establish and maintain positive interactions with customers and co-workers possess good public rapport/people skills, strong customer service attitude.
