Your Mission: The Board Administrator for nonprofit Board support plays a crucial role in facilitating the efficient operation of the organization's governance structure. This role also provides high-level administrative assistance to Board chairs, officers, and members, ensuring that meetings, projects, and initiatives progress smoothly. This requires meticulous attention to detail, exceptional organizational skills, and the ability to handle confidential information with discretion. In addition, this position requires personal skills to be able to develop a strong, friendly rapport with all leadership volunteers. Key Responsibilities:
Efficiently manage data and collaborate with key stakeholders
- Serve as a primary point of contact for board chairs, officers, and members, addressing inquiries and requests promptly and professionally.
- Assist with the onboarding of new board members, providing orientation materials and facilitating introductions.
- Collect and arrange data from committees and departments.
- Establish and maintain strong and unified collaboration with different teams (including ELT, SLT, and executive assistants)
- Provide training and guidance to other administrative support team members on board support activities.
- Collaborate with executives and their support staff as appropriate to ensure proper administration of committee and task force activities in support of moving critical items to the Board, including but not limited to calendaring, communications, distribution of information to participants, generating draft agendas and meeting materials, drafting meeting minutes for approval, verifying attendance, and providing reference to bylaws and rules of order for committee meetings.
- Provide administrative support to the Board of Trustees Chair and Officers and board members; provide support to Committee Chairs as a backup to other executive support staff on an as-needed basis.
Organize and share information about board meetings
- Coordinate the work and personal schedule of board members, including meetings, deadlines, and needs.
- Send critical notifications and updates regarding company issues promptly.
- View and filter incoming materials such as messages and correspondence
Prepare agendas and packets for Board members
- Coordinate board meetings, including scheduling, preparing agendas, and distributing meeting materials in advance.
- Organize reports relevant to a paperless board meeting.
- Keep records of meeting minutes and ensure a consistent agenda.
Review and maintain relevant documentation
- Provide quick access to document resources during meetings.
- Maintain accurate records of board activities, including meeting minutes, attendance records, and action items.
- Prepare reports and presentations for board meetings, summarizing key metrics, accomplishments, and challenges.
- Assist in the preparation of annual reports, grant proposals, and other documents required for fundraising and reporting purposes.
- Maintain the corporate minute book to comply with regulatory and audit requirements.
- Compile and analyze data related to governance activities, identifying trends and areas for improvement.
Monitor and coordinate action items and results
- Attend board meetings, record minutes, and prepare accurate and concise meeting summaries for distribution, review and approval.
- Distribute post-meeting documents with votes and action plans specified in the assigned agenda.
- Track pending action items before and after the meeting.
- Maintain official records, including board resolutions, policies, and bylaws, ensuring compliance with regulatory requirements.
Your Qualifications:
- Bachelor's degree in business administration, non-profit management, or related field preferred
- Proven experience of 5 years in an administrative support role with non-profits or board governance
- Demonstrated experience with senior leadership and board members.
- Understanding of nonprofit governance structures and familiarity with legal and regulatory requirements preferred
- Strong proficiency in office productivity software (e.g., Microsoft Office Suite, Google Workspace) and familiarity with board management software platforms
