JOB SUMMARY:
We are looking for a dedicated and customer-focused Reservations Agent to join our team. In this role, you will be the first point of contact for customers seeking to make reservations, whether for travel, accommodation, or other services. Your primary responsibility will be to ensure a seamless booking experience by providing accurate information, addressing customer inquiries, and confirming reservations. You will play a vital role in maintaining customer satisfaction and loyalty by delivering exceptional service and attention to detail. As a Reservations Agent, you will handle incoming calls, emails, and online booking requests, ensuring that all customer needs are met promptly and professionally. You will also be responsible for managing reservation systems, updating availability, and coordinating with other departments to ensure smooth operations. Your ability to multitask, communicate effectively, and stay organized will be key to your success in this role. In addition to managing reservations, you will assist customers with modifications, cancellations, and special requests. You will also provide recommendations and upsell additional services or products when appropriate. A strong understanding of the services offered, as well as the ability to anticipate customer needs, will set you apart as a top-performing Reservations Agent. ESSENTIAL DUTIES OR FUNCTIONS:
Responsibilities:
- Handle incoming reservation inquiries via phone, email, and online platforms.
- Provide accurate information about services, availability, and pricing.
- Confirm, modify, or cancel reservations as requested by customers.
- Maintain and update reservation systems with accurate data.
- Coordinate with other departments to ensure seamless service delivery.
- Upsell additional services or products to enhance customer experience.
- Resolve customer issues or complaints in a professional manner.
- Stay informed about company policies, promotions, and offers.
- Extend ‘Gracious Hospitality’ to each and every guest at all times, always taking care of their needs to the best of your ability.
- Be knowledgeable regarding all aspects of Sun Mountain Lodge including grounds and building layout, room configuration, reservation policies, activities by season, rates current ad promotions, special events, etc.
- Process cash out reports at the end of shift for all credit card transactions for advance deposits from your reservations that day.

- Requirements:
- Proven experience in customer service or reservations is preferred.
- Strong communication and interpersonal skills.
- Proficiency in using reservation systems and computer applications.
- Ability to multitask and work in a fast-paced environment.
- Attention to detail and strong organizational skills.
- Problem-solving abilities and a customer-focused mindset.
- Flexibility to work various shifts, including weekends and holidays.
Skills:
Excellent verbal communications skills, organizational and time management skills are a must, as well as the ability to work individually and as a team member. Good keyboarding skills, enthusiasm, professionalism, and the ability to work under pressure and still maintain graciousness, speed and accuracy are essential.
Qualifications:
Must: be willing to work weekends, evenings, and holidays; have previous telephone answering experience; have the ability to work well with people and maintain professional demeanor in a fast paced and demanding environment; have competent keyboarding and computer skills; be able to sit for long periods of time while talking on the telephone; able to handle constant fingering/typing, reaching outward, must be able to lift and carry up to 20 pounds occasionally; be able to multi-task. Previous hotel experience and knowledge of the Methow Valley are beneficial.
