We are seeking a Part-Time Bookkeeper & Administrative Assistant to join our team. This individual will be key in maintaining our financial records and supporting the President with daily administrative tasks to ensure smooth operations.



Position Summary:

The Part-Time Bookkeeper and Administrative Assistant will primarily manage accounts payable, accounts receivable, customer billing, and other related administrative tasks. This role demands exceptional attention to detail and a proactive approach to supporting the President with daily organizational and scheduling needs. The position offers the chance to work closely with the team while making a meaningful contribution to the company's efficiency and success.



Key Responsibilities:


Bookkeeping Duties:

  • Process accounts payable, ensuring timely and accurate payment of bills.
  • Manage accounts receivable, including invoicing customers and tracking payments.
  • Maintain accurate customer account records and address discrepancies as needed.
  • Handle customer billing inquiries with professionalism and efficiency.
  • Coordinate with the accountant on reconciliations, oversight, and preparation of financial statements.


General Office Duties:

  • Communicate with vendors and suppliers as needed.
  • Ensure compliance with company policies and procedures in financial transactions.
  • Support team members with ad-hoc administrative or clerical tasks.


Administrative Support to the President:

  • Manage daily scheduling, coordinate meetings, and organize appointments.
  • Assist with general office organization, email, and workflow management.
  • Draft and proofread correspondence, reports, and other documents.
  • Maintain electronic and physical filing systems to ensure accessibility and accuracy.
  • Provide administrative support as needed to ensure the President’s efficiency and effectiveness.




Qualifications & Skills Required:


Technical Skills:

  • Proven experience in bookkeeping, preferably in a manufacturing environment.
  • Proficiency in accounting software (e.g., QuickBooks Online) and Microsoft Office Suite (Excel, Word, Outlook).
  • Understanding of accounts payable, accounts receivable, and customer billing processes.


Administrative Skills:

  • Strong organizational and time management skills with a proactive approach to problem-solving.
  • Excellent communication skills, both written and verbal.
  • Ability to handle multiple tasks efficiently in a fast-paced environment.


Soft Skills:

  • High attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Reliable, trustworthy, and professional demeanor.


Experience:

  • Minimum of 3 years in bookkeeping or similar roles.
  • Experience in manufacturing preferred but not required.
  • Previous experience in an administrative support role is a plus.
