Position Summary:
The Part-Time Bookkeeper and Administrative Assistant will primarily manage accounts payable, accounts receivable, customer billing, and other related administrative tasks. This role demands exceptional attention to detail and a proactive approach to supporting the President with daily organizational and scheduling needs. Key Responsibilities:
Bookkeeping Duties:
- Process accounts payable, ensuring timely and accurate payment of bills.
- Manage accounts receivable, including invoicing customers and tracking payments.
- Maintain accurate customer account records and address discrepancies as needed.
- Handle customer billing inquiries with professionalism and efficiency.
- Coordinate with the accountant on reconciliations, oversight, and preparation of financial statements.
General Office Duties:
- Communicate with vendors and suppliers as needed.
- Ensure compliance with company policies and procedures in financial transactions.
- Support team members with ad-hoc administrative or clerical tasks.
Administrative Support to the President:
- Manage daily scheduling, coordinate meetings, and organize appointments.
- Assist with general office organization, email, and workflow management.
- Draft and proofread correspondence, reports, and other documents.
- Maintain electronic and physical filing systems to ensure accessibility and accuracy.
- Provide administrative support as needed to ensure the President’s efficiency and effectiveness.
Qualifications & Skills Required:
Technical Skills:
- Proven experience in bookkeeping, preferably in a manufacturing environment.
- Proficiency in accounting software (e.g., QuickBooks Online) and Microsoft Office Suite (Excel, Word, Outlook).
- Understanding of accounts payable, accounts receivable, and customer billing processes.
Administrative Skills:
- Strong organizational and time management skills with a proactive approach to problem-solving.
- Excellent communication skills, both written and verbal.
- Ability to handle multiple tasks efficiently in a fast-paced environment.

Experience:
