Our Facilities team is hiring!

Starting pay for this position is $22-$23/hr based on experience. Typical hours are Monday-Friday: 8-4:30pm.

As a Facilities Administration Specialist, you'll be responsible for assisting the Manager in a variety of tasks.

  • Work order triage and scheduling, placing service calls, tracking, storing and organizing department related documents and files. Supports and tracks special projects. Is the point person for all incoming facility requests, inquiries and workorders.
  • Maintains vendor management software and applicable records for vendors. Reviews and tracks all incoming invoices and MSDS sheets for the department including itemizing Facility expenses and resolving billing issues. Coordinates deliveries, pickups, service calls, and maintains accurate service records for all vendors. Reviews and makes changes as needed and performs audits quarterly which include obtaining up-to-date insurance binders and w-9’s. Assist Facilities Manager in drafting and executing service contracts.
  • Serves as the primary resource for application management of various third-party vendor application consoles to ensure users are up to date with appropriate permissions.
  • Responsible for supply ordering and maintaining office supplies Manages and tracks supplies for Sunmark HQ including all facilities and breakroom supplies. Performs quarterly audits to ensure compliance with dual control standards.
  • Receives and distributes all incoming/outgoing mail throughout the credit union to appropriate department or staff member including Express, UPS and FedEx packages, prepares courier route bags to be delivered to all locations. Ensuring that mailboxes are retrieved by appropriate departments in a timely manner. Ensures adequate postage for mail machine. Stays up to date on postal regulations and any necessary changes.
  • Provides back-up coverage for the reception area during breaks and time off.

Candidates should have a high school diploma/equivalent or higher with prior administrative work experience. Strong computer proficiency (Word and Excel). Effective and professional communication skills.
