Job Title: Accounts Payable Specialist
Location: 600 University Blvd, Harrisonburg, VA 22801 (On-site/In-Person)
Hours: Monday-Friday. 32 hours/week.
Position Overview & General Responsibilities:
Our team is looking for an Accounts Payable Specialist to help ensure that bills and invoices are processed and paid accurately and timely at our Corporate Office. In this role, you’ll play a key part in maintaining financial accuracy and contributing to the seamless flow of our operations. Your attention to detail, proactive mindset, and dedication will help us stay on top of our financial commitments while working in a collaborative and fast-paced environment.
- Classify and categorize invoices and purchase orders according to Sunnyside’s accounting codes and policies, ensuring accuracy and compliance.
- Record invoices into our cutting-edge general ledger system, while also maintaining hard copies of entries for easy reference and auditing.
- Safeguard sensitive financial documents, ensuring the confidentiality of checks, invoices, and other critical materials in line with company security policies.
- Prepare checks for payment, ensuring that all current payables are processed and signed for smooth financial operations.
- Conduct detailed vendor or account analysis when requested, diving deep into records to uncover valuable insights.
- Onboard new vendors, ensuring their accounts are set up correctly and maintaining up-to-date information, including W-9s, contractor licenses, and insurance certificates.
- Collaborate with vendors, colleagues, and internal teams to resolve any billing discrepancies swiftly, always responding to inquiries with a solution-oriented approach.
- Stay current with accounting software and Office Suite tools, and remain ready to leverage technology to perform at your best.
- Review and interpret invoices, bills, and related documents with precision, ensuring that all charges are legitimate and accurately represented.
- Communicate promptly with leadership about any errors, discrepancies, or unusual invoice activity, helping ensure swift resolutions when issues arise.
- Escalate issues as needed, making sure that complex or unresolved matters are flagged to the right teams for prompt action.
- Other Duties as Assigned.
Requirements
- Any combination of education and experience equivalent to an Associate’s Degree in accounting or related field with some previous accounts payable experience is preferred.
- Strong computer skills including proficiency in Microsoft Office and the ability to learn accounts payable software.
- Detail-oriented. Ability to prioritize effectively. Strong organizational skills.
- Able to operate general office equipment such as copier, fax, mail machine, etc.
- Ability to process information accurately, make appropriate decisions, and take appropriate action based on the information available.
- Strong interpersonal skills and ability to provide appropriate consultation to campus team as needed.
- Strong written and verbal communication skills; ability to read and comprehend all types of written materials, strong phone etiquette and ability to speak with appropriate grammar.
- Ability to work with confidential information and maintain its’ integrity.
- Strong customer service skills; maintain a hospitality approach when engaging all individuals.
