The Conventions and Catering Services Manager is responsible for communicating with guests and wedding/event planners to plan and execute successful meetings and events. S/he will work with the Sales Department to ensure contract expectations are met and exceeded. The Conventions and Catering Services Manager is responsible for the event supervision by communicating with other departments and ensuring the accuracy of event details. S/he will assist in maintaining the AAA Four Diamond Standards.

Responsibilities
- Works with the sales department to achieve the vision of weddings, social events and group meeting and events
- Provides overall direction, coordination and ongoing evaluation of weddings, meetings and events
- Establishes strong rapport with planners and brides/grooms
- Maintains close contact with clients to determine set-ups, numbers attending, types of facilities required, meal arrangements, times and special needs
- Communicates effectively with resort staff to ensure smooth delivery of all services
- Plans and leads pre-convention meetings
- Reviews all billings prior to submitting for processing
- Explains and justifies expenses to clients, prior to, during and after the events conclude
- Provides alternative approaches to meet client demands
- Works with clients to coordinate all resort events and or activities
- Works with clients to communicate and event due dates and deadlines
- Acts as point of contact for in-house conventions/catering guests
- Optimizes room rental charges for add on events
- Works with outside vendors to ensure client satisfaction for all events
- Tours meeting and event space frequently to assure proper set-ups
- Provides detailed execution of all BEOs
- Offers innovative suggestions for guests on set-ups, menus and activities
- Maintains strong knowledge of meeting space set-ups and A/V requirements
- Reviews guests’ feedback through Revinate to ensure continual guest satisfaction
- Generates detailed BEOs and resumes for resort staff
- Welcomes incoming guests with courteous and professional attitude
- Handles meeting planner/guests requests promptly and with high level of accuracy
- Performs special deliveries or errands for guests/meeting planners
- Interacts with resort staff in a professional manner, assisting other departments with necessary information
- Up sells other resort services and amenities to guests
- Maintains constant awareness of safety issues, (i.e. broken glass, frayed electrical cords, leaks, broken locks and suspicious persons). Reports all safety incidents to on-duty supervisor.
- Maintains a professional appearance. Follows all Sunriver Resort dress code standards.
- Remains alert, courteous and helpful to the guests and colleagues at all times.
- Performs other duties as assigned
Qualifications
- High school diploma or equivalent
- Four year degree preferred
- Prior hospitality experience preferred
- Prior conventions experience preferred
- At least three years customer service experience preferred
- Must have a valid driver’s license and ability to have a satisfactory driving history record
- Must be extremely detail orientated
- Ability to work a flexible schedule that may include evenings, weekends and holidays
- Must have strong knowledge of computers and Microsoft Office Suite programs
- Must have a passion for creating an exceptional experience for all guests
- While primarily an indoor job, must be able to work at outdoor locations on occasion, walking on uneven surfaces;
- Must be able to occasionally lift, carry, push & pull up to 50 lbs. with assistance;
