Overview:
Join the dynamic team at Sunriver Resort as a Sales Administrative Assistant! In this vital role, you'll support our sales team by managing administrative tasks, coordinating client communications, and ensuring seamless operations to help deliver exceptional guest experiences. The Administrative Assistant is a part-time position, onsite, that is responsible for the overall administrative support of the sales department. S/he will work with department managers and associates to ensure the effectiveness and overall success of the department.
The Administrative Assistant shall strive to provide exceptional service to both internal and external guests at all times. S/he will be responsible for exemplifying the Sunriver Resort Culture as well as promoting Sunriver Resort as both the Destination and Employer of Choice!
Responsibilities:
- Provides administrative support to Sales department
- Answers incoming phone calls and transfers appropriately
- Orders all office supplies for the department and ensures properly stocking levels
- Opens, sorts, and distributes incoming correspondence
- Prepares sales correspondence, proposals, contracts and other written documents for sales managers
- Maintains a clean and organized work area
- Responsible for inventory control of resort related collateral
- Creates reports, summaries or other correspondence for sales managers
- Prepares expense reports and processes department invoices
- Maintains an up to date working knowledge of all resort amenities as well as any special events
- Interacts with resort staff in a professional manner, assisting other departments with necessary information
- Acts with responsibility towards all company property, supplies and equipment
- Maintains a professional appearance. Follows all Sunriver Resort dress code standards.
- Remains alert, courteous and helpful to the guests and colleagues at all times
- Attends pertinent resort meeting and reports on any necessary department information
- Performs other duties as assigned
- High school diploma or equivalent required
- At least one years in an office setting required
- At least three years administrative experience preferred
- Prior hospitality experience preferred
- Must be able to work in a fast paced environment
- Ability to work with high level of autonomy
- Ability to organize and prioritize work and meet deadlines
- Must have strong computer knowledge and excellent Microsoft Office experience
- Must have excellent phone etiquette
- Must be able to type 60 WPM
- Must be detail orientated with a high level of accuracy
- Ability to work a flexible schedule that may include evenings or weekends
