Job Summary:
The Finance Assistant supports the finance department by handling a range of administrative and financial tasks. This role involves assisting with loan and lease documentation, processing transactions, maintaining financial records, and providing customer service related to financial matters. The Finance Assistant plays a key role in ensuring smooth and efficient financial operations within the dealership.
Essential Functions:
Assist in preparing and processing loan and lease applications, ensuring all required documentation is complete and accurate.
Process and verify financial transactions, including payments, refunds, and adjustments.
Coordinate with banks and financial institutions to facilitate financing and leasing arrangements for customers.
Provide excellent customer service by addressing customer inquiries related to financing, leases, and financial documentation.
Explain financing options, terms, and conditions to customers in a clear and professional manner.
Assist customers with the completion of financial paperwork and ensure they understand the terms of their agreements.
Maintain and organize financial records, including contracts, payment histories, and other relevant documents.
Ensure that all financial records are kept confidential and comply with legal and dealership standards.
Update and manage electronic and physical filing systems for easy retrieval and accurate record-keeping.
Assist in preparing financial reports and summaries for management review.
Reconcile financial statements, accounts, and reports to ensure accuracy and resolve discrepancies.
Monitor and track financial transactions to ensure they align with dealership policies and procedures.
Ensure compliance with all relevant financial regulations, dealership policies, and manufacturer guidelines.
Conduct regular audits of financial documentation and processes to ensure accuracy and adherence to standards.
Stay updated with changes in financial regulations and industry practices to maintain compliance.
Work closely with the finance team, sales staff, and management to support financial operations and customer transactions.
Collaborate with other departments to facilitate smooth processing of financial and vehicle-related transactions.
Assist in training new finance staff on dealership procedures and systems.
Perform general administrative tasks, such as answering phones, scheduling appointments, and managing correspondence.
Assist with other office duties and special projects as assigned by the Finance Manager or Director.
Maintain satisfactory attendance. Perform other related duties as assigned.

Qualifications:
Minimum Qualifications:
Minimum 1 year bookkeeping or auditing experience.
Ability to lift up 25 pounds.
Ability to perform all essential functions of the job description.
Preferred Qualifications:

Excellent communication and interpersonal skills.
Proficient in financial software, Microsoft Office Suite (Excel, Word, Outlook), and general office equipment.
