Overview
We are seeking a dedicated and organized Service Administrator to join our team. This role performs a variety of tasks to support the administrative duties of the Shop. Examples include parts ordering, receiving, stocking, inventory, and parts/truck pick-up and delivery. Related projects and work assignments that support the Shop Manager will be received in the form of oral or written work orders, and any questions can be directed to the Shop Manager (such as the detailed nature or extent of repair descriptions).
Responsibilities
- Orders, receives, and issues parts, materials, equipment, and supplies from multiple vendors as needed under the Shop Manager’s direction.
- Labels and stocks shelves – verify correct locations and storage.
- Verifies outages of the on-hand parts inventory.
- Monitors the frequency of parts usage and makes necessary recommendations.
- Monitors and prepares core returns and parts for return to the vendor.
- Completes required paperwork utilizing fleet maintenance software program associated with repairing vehicles, documenting parts usage, and accounting for repair times. In addition, creates and closes work orders.
- Maintains up-to-date files on all records, work orders, PO’s, invoices, DVIR’s, etc. on company trucks, trailers and equipment.
- Supervises evening shift mechanics for efficient time management and assigns work orders to shop staff by prioritizing tasks appropriately based on mechanical skill level.
- Assists with picking up and dropping off company equipment as needed.
- With the use of a company vehicle, picks up and distributes parts.
- Sets up service calls and tows for company vehicle roadside services.
- Provides front line communications with Shop Manager and logistics dispatch team for trucks being placed in and out of service.
- Collaborate with the Shop Manager to communicate with Independent Motor Carriers to schedule third party repair services.
- Communicate with Sunset drivers to identify mechanical repairs needed on company trucks.
- Monitors and maintains all equipment preventative maintenance scheduling, to include services and AVIRs.
- Warehouse support as needed.
- Other duties as assigned.
Qualifications
- Knowledge of OSHA, EPA, and DOT Regulations applicable to truck and trailer repairs and maintenance
- Knowledge of truck mechanical and maintenance elements and parts sufficient to support shop staff
- Proficiency in technical tools required in company tractor and trailer repair and maintenance
- Written and verbal communication skills sufficient to discharge duties
- Basic knowledge of Excel and Word
- Experience with QuickBooks a plus
- 3-5 years of working experience in a shop environment preferred
- Class B CDL and Forklift Certification preferred but not required. Minimum Class C
- High School Diploma/GED equivalent
- Must be able to lift up to 75 lbs. and meet pre-hire physical
