Job Summary
We are seeking a detail-oriented and proactive Project Coordinator to join our growing team in the asphalt paving industry. This role is essential to ensuring the successful planning, execution and closeout of paving projects. The ideal cadidate will work closely with project managers, field crews, clients and vendors to keep projects on schedule and within budget, while maintaining quality and safety standards.
Key Responsibilities:
- Assist project managers with day-to-day coordination of paving projects, including scheduling, resource allocation, and document control.
- Track project milestones, budgets, and timelines; assist in identifying and resolving potential issues.
- Communicate project updates and changes to interanl teams and external stakeholders.
- Prepare and distribute work orders, submittals, permits and other project documentation.
- Maintain accurate records for job cost tracking, materials, and equipment usage.
- Coordinate with suppliers and subcontractors to ensure timely delivery of materials and services.
- Support field crews with logistical needs, such as site acess, traffic control plans, and utility coordination.
- Ensure compliance with company policies, local regulations and safety standards
- Assist in project closeout procdures, including punch list, inspections, and client handoffs.
- Work with permitting department staff to help expedite applications and resolve any outstanding compliance issues.
Skills
- Porficient in Microsoft Office Suite (Word, excell, outlook)
- Experience with project management software (e.g. Procore, Planswift, Spotonsite, quickbooks)
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- Experience in construction site management or coordination is preferred..
- Familiarity with DOT standards and specifications is beneficial.
- Familiarity with utility locating practices to assist in project planning.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Excellent communication skills for effective collaboration with team members and stakeholders.
- Problem-solving abilities to address challenges that arise during project execution.
