What are the responsibilities and job description for the Receiving Clerk position at Sunstar Engineering Americas?
Sunstar Engineering Americas (SEA), a highly successfully manufacturer of automotive adhesives, sealants, and coating products, is seeking detail oriented individual for the role of Receiving Clerk. Managing the receipt of goods and materials into our facility is the overall responsibility in the position. Primary duties include verifying shipments, recording inventory into an ERP/MRP system, and ensuring all items are stored correctly, in a timely manner.
Essential Duties
- Maintain and schedule dock appointments: Set appointments in system pending on volume and labor.
- Maintain and track all late delivery fees: Input in system and communicated cost to accounting and purchasing.
- Inspect Incoming Shipments: Verify the contents of incoming shipments against purchase orders, invoices, and packing slips. This ensures that the correct items and quantities have been delivered and that they match the order specifications.
- Record Shipments: Update inventory management systems with details about the received goods, including quantities, product descriptions, and any special handling instructions.
- Inspect for Damage or Defects: Thoroughly inspect items for any visible damage, defects, or other quality issues. Report any concerns or damaged goods to the appropriate department or vendor for resolution.
- Sort and Store Goods: Ensure that received goods are correctly sorted and stored in the appropriate warehouse locations or storage areas.
- Handle Paperwork and Documentation: Complete necessary documentation for received goods, including checking invoices, updating purchase orders, and ensuring that all required paperwork is filed correctly.
- Report Discrepancies or Issues: Report any discrepancies, such as missing items, incorrect shipments, or damaged goods, to supervisors, vendors, or purchasing departments.
- Coordinate with Other Departments: Work closely with other departments, such as inventory control, procurement, warehouse staff, and customer service teams, to ensure the smooth flow of goods through the receiving process.
- Track and Manage Returns: If products need to be returned to vendors due to defects or shipping errors, the receiving clerk is responsible for coordinating the return process.
- Maintain Communication with Suppliers and Vendors: Communicate any issues or questions about shipments directly with suppliers or vendors, including addressing delivery delays, product quality concerns, or order changes.
Secondary Duties
- Assist with Stock Counts and Inventory Audits: Participate in periodic physical inventory counts and audits to reconcile actual stock levels with recorded inventory data.
- Maintain a Safe and Clean Work Environment: Ensure that the receiving area and warehouse remain clean, organized, and free from hazards, adhering to safety regulations.
- Operate Warehouse Equipment: Safely operate equipment such as forklifts, pallet jacks, or barcode scanners to move or store incoming goods as needed.
NOTE: This position is also required to perform other related duties as assigned by the department manager or president.
Skills/Abilities
- Attention to Detail: Ability to notice discrepancies and ensure accuracy of all incoming shipments.
- Technical /Computer Skills: Ability to use inventory software and spreadsheets. Mathematical Skills: Required for counting items, calculating discrepancies, and handling various measurement functions.
- Problem-Solving Abilities: Required to identify and resolve issues that may arise during deliveries and inventory counts.
- Adaptability and Flexibility: Ability to adapt and adjust priorities quickly.
- Physical Ability: Necessary for lifting and moving heavy packages through the warehouse with heavy dust, dirt and heat.
Education & Experience Requirements
Must have a High School Diploma or GED. General understanding of manufacturing, receiving and/or warehouse environment preferred. Certified or ability to be certified in Hazmat is required.
