Under the direction of the Sales Service Manager, Customer Service Representatives or also referred to as Sales Service Specialists (SSS) are responsible for day-to-day order fulfillment process from receipt of order to invoice, coordinating, processing and reconciling product returns and providing tracking information for orders in transit when requested.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other related duties may be required and assigned.

  • Sales Service Specialists are responsible for processing system generated and manual orders in SAP. Each SSS must validate all data within the order for accurate pricing and/or promotions, inventory availability and population of correct master data.
  • Orders must be monitored from receipt of order to invoice for all assigned customer accounts.
  • Communicates any issues with orders to customers, brokers, or Sunsweet Sales Directors as necessary to correct information. Responds to all inquiries and requests in a timely manner.
  • Sales Service Specialists are responsible for monitoring reports daily to ensure that orders have been completed, released for on time delivery and invoiced accurately. They will systematically identify and report issues with order fulfillment to the Sales Service Manager for solution implementation.
  • Sales Service Specialists provide administrative support to Sunsweet Sales team as requested, creating data spreadsheets, pulling historical data from SAP on sales or products purchased by customers and order details.
  • Provides information on production schedules, inventory levels by location and customer.
  • Sales Service Specialists are responsible for following established processes to identify problems arising from order processing relating to delivery dates, pricing, promotion requests and inventory shortages.
  • Upon direction of the SS Manager, the SSS will implement solutions to resolve the identified issues.
  • In addition to receiving cross training on all accounts, each team member must provide training on their own assignments to keep the department updated on all accounts.
  • Sales Service Specialists are responsible for the development and maintenance of data profiles for every customer, detailing all customer information, specific requirements, contact information and products purchased by SKU.
  • SSS's are also required to set up and maintain audit files for all manual customer orders received. Desk organization is standard for all team members.
  • In addition to each geographic assignment, each SSS provides back up coverage within the department for all domestic regions as needed during Team member absences.

MINIMUM QUALIFICATIONS

Knowledge/Skills:

  • Experience processing orders in a service capacity environment involving successful interface with commercial based customers.
  • Intermediate skill level in the proficiency of using a personal computer, Word, Excel, and e-mail system. Prefer SAP experience. Data entry with high level of accuracy.
  • Working knowledge of inventory, production and supply chain processes.
  • Prefer experience with manufacturing, logistics and/or processing facility, food or agricultural industry.
  • Ability to communicate effectively via verbal, written and electronic manner.
  • Ability to meet deadlines.
  • Ability to successfully prioritize.
  • Ability to maintain and respect confidentiality of privileged information.
  • Strong attention to detail
  • Bilingual preferred.

Education and Experience:

  • Must be able to multi-task.
  • Requires strong time management skills.
  • Must pass post-offer, pre-employment testing, including: background check & drug screen
  • Experience working with spreadsheets.

Physical/Safety Requirements:

  • Tolerate extended periods of sitting at desk.
  • Ambient noise is louder than a traditional office setting.
