What are the responsibilities and job description for the Office Manager - IT Department position at SUNY College of Optometry?
- Manage daily ITS operations and support the administrative needs of the CIO and ITS, and ensure the smooth and timely execution of office workflow, events, and high-level customer service.
- Serve as administrative liaison between the CIO and other offices within the College, as well as a variety of internal and external stakeholders to ensure concise and effective communications.
- Assist with the planning, organizing, and coordination of meetings, projects, and events.
- Prepare and distribute meeting agendas, meeting minutes, and other related meeting materials, many of which are related to information security and confidential in nature.
- Maintain calendars, schedule meetings, appointments, room reservations, and travel arrangements.
- Provide support for budget tracking and resource management with a high level of detail and accuracy.
- Prepare and submit purchase requisitions, process invoices and reimbursements, timesheets, and other similar activities.
- Update ITS policies, procedures, standards, guidelines, and other departmental documentation.
- Produce statistical and administrative reports.
- Maintain ITS inventory supply levels.
- Other duties as requested and assigned.
- Ability to maintain confidentiality and handle all sensitive information with discretion and care.
- Ability to anticipate, assess, and proactively troubleshoot challenges that may arise.

- Minimum of 2-3 years’ experience in office administration.
- Basic understanding of IT terminology and systems.
- Experience with ticket management systems (ServiceNow, Jira, or similar).
- Knowledge of video conferencing platforms (Zoom, Teams, etc.)
- Bachelor’s Degree.
- Office administration in higher education or the IT department.
- Basic troubleshooting abilities for common IT issues.
