Job Summary:
The Department of Medicine, Allergy & Immunology at SUNY Downstate Health Sciences is seeking a full-time Division Administrator & Coordinator / Staff Assistant. The successful candidate will:
- Play a pivotal role in managing and coordinating key functions including fellowship programs, research.
- Prepare and coordinate all reports and surveys related to the division.
- Assist in preparation for joint commission regulatory inspections, ensuring compliance and readiness
- Oversee all aspects of the fellowship program, including scheduling, supervision, and evaluation of fellows. Act as the primary contact for any fellowship-related queries and issues.
- Coordinate confidential correspondence related to research. Submit necessary forms, abstracts, informed consents, and research proposals to the Institutional Review Board (IRB).
- Oversee elective courses for medical students, ensuring scheduling and evaluation are properly managed.
- Manage correspondence for medical students and residents participating in programs both within and outside of residency. Assist in the preparation of research manuscripts for publication.
- Organize and coordinate Continues Medical Education (CME) events, including conferences for faculty and fellows. Interact with the CME office to ensure that the division receives annual CME credit for all relevant conferences.
- Respond to incoming calls, directing queries to the appropriate faculty or fellow members Order academic and clinical supplies for the division as needed.
- Address patient consultation requests from on-call teams at Kings County Hospital (KCH) and University Hospital (UHB).
- Organize and coordinate CME events, including conferences for faculty and fellows. Interact with the CME office to ensure that the division receives annual CME credit for all relevant conferences.
- Provide additional administrative support as assigned by the Chief, Administrator, or Chair of the division.
Required Qualifications:
- An Associate’s Degree;
- OR a minimum of 10-years of administrative and/or administrator and coordinator work experience within an academic setting.
- Strong computer skills. (MS Office, PowerPoint, Excel, Word and Outlook).
