LOCATION/UNIT: University Police Department
TITLE/SALARY GRADE: Administrative Assistant 1, SG-11
DURATION: Temporary ( 3- 6 months)
SALARY: $22.84 hourly (NOTE: current salary or reconstructed salary for state employees in accordance with NYS Audit and Control.)
POSITION DESCRIPTION:
Provide administrative support to the University Police Department and Employee Health Services.
Primary Responsibilities
- Serves as initial point of contact and resource for students, faculty, staff, and visitors during the daytime hours for University Police
- Provides information and makes referrals as appropriate.
- Handles confidential information including correspondence and documents.
- Operates office equipment, computer systems and PC as required for office projects.
- Maintains and regularly updates campus parking and college key records
- Issues Parking passes to students, employees and for events
- Assist with parking ticket letters and appeal responses
- Campus Work orders (Facilities)
- Create Purchase Requisitions/Purchase Orders/use of pCard
- Maintain and replenish office supplies
- Deliver and file department timesheets to payroll
- Establish and maintain various complex computer databases related to department services, placement and other required annual reports.
- Coordinate calendar for the Police Chief
- First point of contact for Chief of Police to promote hierarchy
- Update calendar with schedules events to assist in determining staffing needs and departmental situational awareness
- Perform room reservations for Department
- License Event Notification Service liaison
- Works directly with SU P&T and Enforcement Team for parking reports, passes, tickets and major JMA events regarding ESF lot closures and notices
- Assist with all our occupational physical scheduling, rescheduling, emails, reminders, and directions to Wellnow.
- May assist with the annual audit report from the DEC for a compliance or non-compliance of SUNY State Agency Environmental audit request.
Job Requirements:
Required Qualifications
- Working knowledge of Microsoft Suite and Excel preferred.
- Excellent communication skills; written and interpersonal.
- Time management and organizational skills are essential.
- Quality customer service skills in a fast paced environment with great attention to detail.
The successful candidate will be required to pass a fingerprint-based background check.
OPERATIONAL NEEDS: Monday thru Friday - 8:00AM - 4:30PM
