Under direction of the Operations Manager, performs a variety of complex duties including managing the schedules of the Court’s staff Reporters and Interpreters, as well as contracted court interpreters and reporters. Incumbents are responsible for maintaining all applicable data and responding to requests for assignment of services on both a planned and ad hoc basis. Incumbents typically work independently. This position requires the ability to make decisions in the absence of the Calendar Coordinator and/or the Manager and to react quickly and resourcefully to ensure courtrooms are staffed for hearings and trials. Incumbents do not hold supervisory responsibility over court reporters and interpreters; rather the incumbent coordinates internal interpreter and court reporter resources, including time off requests. The incumbent has primary responsibility for finding and coordinating qualified contracted court interpreters and reporters and for maintaining and providing applicable data and reports and ensuring court business needs are met.

This position will likely have subordinate Deputy Court Clerk position(s) that report to it in the future.

Distinguishing Characteristics: The Court Services Coordinator is distinguished from the class of Court Reporter in that the Reporter’s primary duty is to provide a written record of court proceedings. It is distinguished from the Court Interpreter in that the primary duty of the Interpreter is to interpret at court proceedings. The Court Services Coordinator typically reports to the Operations Manager of the Salinas Division.1.Interacts with managers and judges on operational, scheduling or processing issues; implements and revises work programs, plans, processes and procedures to achieve section objectives consistent with established statutory, rule and policy requirements and court service quality expectations; develops solutions to resolve staff or operating problems; develops procedure manuals; ensures operating policies and procedures meet the needs of the unit and the Court; and creates forms to be used by the unit to improve service and productivity.
2.Maintains clear and complete records regarding Court Reporter and Interpreter assignments, including paper and/or electronic calendar- and assignment-related documentation; communicates assignment coverage to applicable courtrooms, calendar coordinator, or manager in a timely manner.
3.Monitors workflow and assigns work priorities to ensure efficient, timely and accurate operations; coordinates, collects and compiles statistical workload data and reports.
4.Identifies Reporter and Interpreter needs for upcoming matters and ensures timely and adequate coverage; regularly confers with the Calendar Coordinator and Manager to ensure operational needs are met; reports service issues and/or problems to the Manager.
5.Performs various administrative tasks related to the work of Court Reporters and Interpreters; prepares, collects and processes Interpreter and Reporter claim forms; verifies and validates complete claims for expense reimbursement; prepares data and statistical reports as needed and required.
6.Provides thorough explanations of courtroom protocols to contracted interpreters; instructs and assists Interpreters in administrative tasks to complete assignments, as necessary; guides court staff on the use of a variety of Language Access tools and methods.
7.Performs daily updates of required statistical information within the Judicial Council's designated system(s).
8.Monitors workflow and assigns work priorities to ensure efficient, timely and accurate operations; coordinates, collects data and compiles statistical workload reports.
9.Determines work schedules and ensures adequate coverage to complete work in a timely and efficient manner.
10.Interprets policies and procedures for employees through staff meetings, instructions, procedures and other means; informs staff of procedural changes pertaining to new legislation, new rules and/or other governing authority.Any combination of education, training and/or experience which substantially demonstrates the following knowledge, skills and abilities:

Working knowledge of:

1.Organization, operating details and procedures of the Court system.
2.Courtroom practices and procedures including proper decorum.
3.Duties and functions of Operations Supervisor, Court Reporter, and Interpreters.
4.Court case management system and standard business software.
5.California statutes, codes, laws, regulations, procedures and Court Rules governing the work and legal processes of the Court.
6.State and local statutes and Rules of Court that govern Language Access and court operations generally.
7.Customer service best practices for both the internal and external customer.
8.Principles and practices of effective leadership.
9.Procedures and techniques for analyzing and improving work processes to enhance efficiency and productivity.

Skill and ability to:

1.Plan, organize, coordinate, and evaluate the work of the division.
2.Read, interpret, explain and apply complex rules, policies and regulations.
3.Work tactfully with managers, judicial officers, attorneys, other court personnel and the public.
4.Communicate professionally and effectively, orally and in writing, in order to explain complex procedures to staff and the public and to compose clear and concise correspondence and reports.
5.Perform actions that require speed, high attention to detail and application of code, rule and specific procedural requirements, as it relates to filling requests for Interpreters;
6.Work independently with a minimum of supervision and make decisions in the absence of the Manager.
7.Operate standard office equipment, including computer, copier, scanner, calculator and telephone.
8.Provide excellent customer service.
9.Identify technical and operational issues and opportunities, analyze problems and alternatives, and develop sound conclusions and recommendations for change.
10.Safeguard confidential materials.

The knowledge and skills listed above may be acquired through various types of experience, education, or training, typically:

Experience:

Three (3) years or more of progressively responsible clerical experience in a court or other legal office that required examination of documents for legal sufficiency.

Salary : $72,384 - $92,414
