As an Executive Assistant within our dynamic and fast-paced HR team, you’ll be the go-to person for supporting the Chief Human Resources Officer, HR Directors, and team members within the HR group. Additionally, you will provide support to several members of the executive leadership team.

Responsibilities
- Complete a variety of administrative tasks, including managing calendars, completing expense reports, arranging complex and detailed travel plans (both domestic and international), compiling documents for meetings, and managing logistics for team meetings.
- Prepare presentations and other documents to support meetings and events.
- Assist in planning and organizing company meetings and events.
- Prepare reconciliation of credit card expenses and completed expense reimbursements.
- Process payments and reimbursements utilizing Concur and internal accounting processes.
- Support special projects and initiatives within the department.
- Maintain electronic and physical files. Ensure confidential and sensitive information is handled with discretion and integrity.
- Manage building facilities activities, including ordering office supplies, breakroom supplies, etc. Ensure the breakroom is fully stocked.
- Schedule onboarding meetings/new hire check-ins, maintain org charts, updating personnel records, and supporting various HR projects as needed.
- Work directly with the Company’s travel organization and provide oversight of travel reporting as required.
- Coordinate food and beverage orders including ordering, set up and take down for executive functions and/or guest meetings.
- Bachelor’s degree or equivalent experience required.
- 5 years’ experience providing administrative support to C-level executives required.
- Experience managing international travel for executives required.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook and Teams).
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Exceptional communication and interpersonal skills.
- High level of discretion and professionalism in handling confidential information.
- Ability to work independently and collaboratively in a fast-paced environment.
- Strong problem-solving skills and attention to detail.
- Flexibility and adaptability to changing priorities and demands.
