PRINCIPLE PURPOSE OF JOB:
Greet customers with professional appearance and pleasing voice. Making sure orders are shipped and received correctly. Responsible for being the first line of contact when entering the facility. Provides support to the Controller, Dock, Packing and Sales teams and answers telephone for the entire company.
LEVEL OF AUTHORITY:
Conducts administrative responsibilities independently with only general direction from the Controller.
WORK ENVIRONMENT:
Work is performed in a fast-paced office setting with frequent interruptions from customer phone calls and truckers during the late spring, summer and early fall. Work slows down during the Winter months. Can be stressful at times.
**Due to the busy summer season, vacation is not permitted July 1st to October 15th. In the summer/early fall this job is more of a second shift type position starting later in the morning and going till close, which can go late into the night. This position also requires a rotating Saturday schedule with other employees during our busy season. Please only serious candidates apply.**
ESSENTIAL JOB FUNCTIONS:
- Communications and greeting our customers through answering the telephone and office visits.
- Sales Order Entry
- Purchase Order Entry
- Provides support to the Controller of Superior Sales, Inc., dock team, packing team and sales team.
- Filing
- Shipping Bills
- Receiving Products
- Print stickers for shipper’s and packing line
- Check-in and assist visitors, drivers, and farmers
- Assists in entering and tracking of produce repack sheets.
- Label inventory
- Empty folders and box up old sales orders/P.O.’s
- Entering profit and chep reports
ADDITIONAL JOB FUNCTIONS
1. May perform duties of work of higher classified positions, as assigned.
2. May perform duties of similar complexity in any Department as assigned.
QUALIFICATIONS AND CAPABILITIES
- Ability to communicate effectively with diverse, and sometimes irate individuals and to handle calmly and efficiently situations ranging from routine to emergency.
- Excellent memory and organizational ability, to set priorities, organize workload, handle multiple responsibilities, and meet deadlines.
- Ability to adjust priorities throughout the day.
- Must have or be able to quickly acquire knowledge of departmental program structure (mission, goals and objectives), department policies and procedures.
- Must have excellent customer service.
- Must be able to multitask.
- Must have a minimum of two years office/shipping and receiving experience.
- Must be able to operate a computer. Must be proficient in Microsoft programs and able to learn other software programs required by the department.
- Must acquire good typing skills with accuracy in a setting with many interruptions.
- Must have a sound knowledge and ability in business correspondence and an ability to proofread for grammar, spelling and punctuation with a high degree of accuracy.
- Must be able to do basic accounting and mathematical computations with a high degree of accuracy.
- Bilingual in Spanish is beneficial, but not required.
PHYSICAL:
1. Ability to sit at a workstation for extended periods to answer phones.
2. Occasional ability to lift, carry and put away parcels weighing up to 25 pounds.
TOOLS:
Standard office equipment including computer, multi-line telephone system, fax machine, copier, and 10-key calculator. Knowledge in Bartender program/zebra printers would be helpful.
