Job Description: As an Office Administrator at Superior Water Works, you will be the first point of contact for our clients and play a crucial role in ensuring smooth office operations. Your responsibilities will include handling incoming calls, scheduling jobs, and managing accounts receivable. You will work closely with our team to ensure that customer needs are met efficiently and professionally.
Key Responsibilities:
- Answer and direct incoming calls in a professional manner.
- Schedule and coordinate jobs for our service technicians.
- Manage accounts receivable, including invoicing, payment processing, and account reconciliation.
- Manage the office calendar, schedule meetings and appointments, and coordinate travel arrangements as needed.
- Assist with budgeting, financial record-keeping, and invoicing to ensure accurate and timely payment of bills.
- Maintain an organized and tidy office environment, including managing files and documents.
- Provide administrative support to the team, including answering phone calls, responding to emails, and performing other clerical duties.
- Supervise and train junior administrative staff, ensuring that they understand their responsibilities and how to complete tasks effectively.
- Develop training materials and lead training sessions as needed.
- Manage the office schedule, ensuring that all staff are aware of upcoming events and deadlines.
- Oversee vendor management, including ordering supplies, negotiating contracts, and resolving any issues that may arise.
- Manage the team and ensure that they are meeting their goals and deadlines.
- Perform any other administrative tasks as required by the office.
Qualifications:
- High school diploma or equivalent required.
- Bachelor's degree in a related field or equivalent experience.
- Proficiency in calendar management, budgeting, and scheduling software.
- Excellent organizational and time management skills.
- Experience in a supervisory or team management role.
- Strong clerical skills and attention to detail.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Experience in vendor management and contract negotiation is an asset.
