What You Will Do
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
Serves as primary contact for questions and helpdesk support related to asynchronous and synchronous programs while maintaining a high level of service and prompt response to inquiries.
Engages in regular communication with justices, judges, sitting and retired judges, court staff, attorneys, general public, court administrators, and the media.
Supports the Judicial College through routine administrative tasks (e.g. drafts and signs correspondence; research responses to inquiries); compiles data; prepares reports and meeting minutes; maintains records and files in accordance with established systems; recommends office procedures; coordinates daily work flow of office; prepares requisitions for office purchases and/or services. Performs other clerical duties as needed (e.g. maintains public areas, opens and distributes mail; maintains course calendars, greets visitors; makes copies; and prepares materials for mailing).
Follows course tasks procedures and guidelines.
Designs, drafts, tracks, edits, and publishes Judicial College course announcements and materials for Ohio's judicial officers, court staff, and guardians in accordance to publishing guidelines. Coordinates printing orders and acts as liaison with the in-house print shop and public information office.
Receives, evaluates, processes and submits registration information for courses and meetings. Enters, edits, and deletes appropriate information into established databases.
Creates, prepares, compiles, and sends course evaluations.
Prepares and sends faculty confirmation letters and thank you letters.
Prepares and submits application for continuing education credit approval and report course completions to appropriate agency.
Serves as registrar at Judicial College courses and meetings; performs on-site facility staff liaison duties; and transports Judicial College course materials and audio/visual equipment to course sites.
Effectively use technological tools such as laptops, computer applications, multimedia projectors and presentation tools (e.g., PowerPoint and polling software, still and moving pictures, flip charts); sets up and tests equipment, troubleshoots, solves minor equipment problems.
Performs quality assurance testing on online courses.
Participates in professional development activities as agreed upon with supervisor.
Regular, reliable, and punctual attendance is required.
What We’re Looking For
Requires demonstrated proficiency in clerical and administrative functions, typically acquired through five or more years of progressive office support experience. Associates degree required. Bachelor’s degree preferred.
Must be proficient with Microsoft software including MS Word, MS Excel, PowerPoint, and Outlook and ability to become proficient in Publisher and additional software and equipment. Ability to navigate internet searches is helpful.
Requires the ability to interact with supervisor, co-workers, judges, justices, attorneys, court personnel, and/or the public.
Requires the ability to perform basic mathematical functions including addition, subtraction, multiplication, and division; may also require the ability to calculate percentages, fractions and decimals.
Requires strong writing skills and the ability to write, complete and concise correspondence using proper grammar, punctuation, and spelling. Strong editing and proofreading skills are also required.
Requires the ability to work extended hours as needed, in-state travel, as well as some overnight travel is required.
Ability to produce a high volume of work within a deadline. Ability to meet multiple deadlines and deal with shifting priorities.
Proven ability to take initiative, distinguish higher from lower priorities. Requires the ability to plan and implement new procedures when appropriate.
Proven ability to discern items that can be handled independently and those which require attention of supervisor, including ability to quickly determine subject matter of material and necessary action to be taken in a timely manner.
Valid driver’s license required.
