Job Duties
Essential Duties & Responsibilities – Duties include preparing detailed court documents in accordance with established guideline, automated case management system data entry, scheduling matters for court, preparing correspondences, filing court documents, daily docket preparation, and attending court sessions. Additional responsibilities including answering the phones and assisting customers at the front counter. Must be able to multitask and assume additional responsibilities as assigned by management.
Duties include providing support in the courtroom and ensuring that the court’s instructions are executed, and all legal documents are prepared with accuracy and in accordance with appropriate policies and statues. Handling a wide range of complex clerical and finical task, assessing, and receipting cost and fines, filing, scanning, data entry, problem solving, providing back-up for team members when needed and any other task assigned by management.
Maintains a positive work atmosphere by behaving and communicating in a manner that gets along with customers, clients, co-workers, supervisors, and judges.
Additional essential functions may include but not limited to the following:
- Import documents and scan court case information.
- Maintain a high level of professionalism and confidentiality.
- Greets visitors and directs the public to appropriate area.
- Respond to record requests in a timely manner including certifying documents.
- Prepare court dockets for court presentation.
- Notifies defendants and attorneys of court appearances and prepares subpoenas.
- Schedules court trials, initial arraignments, hearings, and special settings
- Assist judge in courtroom and coordinate courtroom activity.
- Assessment and processing of payments of fines/court costs
- Opens and verifies mail, removes and records checks, cash, money orders and other court related documents.
- Answers telephone and responds to request from citizens regarding fines, trials and arraignment hearing dates, adjudication, and other information pertaining to court processes and policies.
- Data entry and numeric filing.
- Maintains regular attendance and punctuality.
- All other assigned duties by Supervisor and/or Clerk.
Minimum Qualifications
– High school diploma or equivalent required. Most competitive applicants will have considerable court, business, or office experience. Ability to learn quickly and adapt to the court’s computer software system. Ability to identify and initiate work task with minimal supervision. Ability to organize work, set priorities, and meet critical court deadlines. Applicants should be highly organized and possess significant knowledge, skills, and abilities in personnel management, time management, and performance management. Possess strong customer skills with the ability to remain calm in stressful situations. STRONG ATTENTION TO DETAIL. Excellent written and verbal communication skills and advances knowledge of office automation systems and computer software required.
Additional Considerations
Court experience and experience handling money preferred.
