The construction office administrator is the organizational backbone of our projects and company. They ensure smooth operations behind the scenes, allowing project managers and on-site teams to focus on building. Here's a breakdown of their key responsibilities:
Responsibilities
Project Administration & Coordination:
- Buildertrend Expert: Serves as the primary administrator for Buildertrend, ensuring accurate and consistent use of the platform across all projects.
- Schedule Management: Manages and adjusts project schedules in buildertrend, ensuring all deadlines are met.
- Time Tracking: Monitors employee hours and ensures daily logs are completed by all team members.
- Document Control: Manages all project documentation, including contracts, change orders, permits, and inspection reports. Implements a system of organization and accessibility of all construction and business related documents.
- Compliance: Manages Certificates of Insurance (COIs) and workers' compensation documentation.
- Meeting Support: Attends meetings, takes notes, and distributes minutes.
- Permitting and Inspections: Handles all permitting paperwork and schedules necessary inspections.
Financial Management:
- Invoicing and Collections: Prepares and sends invoices to clients, tracks payments, and follows up on outstanding balances.
- Subcontractor Payments: Processes payments to subcontractors as directed by the project manager.
Company Administration:
- Records Management: Maintains all company records, including licenses, insurance policies, workers' compensation information, and tax documents.
Client & Stakeholder Communication:
- Client Liaison: Acts as a point of contact for clients, addressing inquiries and providing project updates.

Pay: $45,000.00 - $60,000.00 per year
