The personal assistant will be responsible for day to day management of the administrative and personal tasks, and will report directly to the company owner.

The ideal candidate will be responsible for a range of activities which will assist this organization's leadership. In this position, you should feel comfortable coordinating calendar appointments, managing communications, and planning events, as necessary.

Task and Communications Management

Coordinate personal and business tasks according to priorities and plans.Answer and direct phone calls.

  • Write and distribute email, correspondence memos, letters, faxes and forms.
  • Maintain contact lists.
  • Act as the point of contact for internal and external stakeholders.
  • Liaise with the president to handle requests and queries with internal and external stakeholders.

Scheduling

Organize and schedule meetings, travel and appointments.

  • Book travel arrangements.
  • Plan meetings with agendas beforehand, take detailed minute notes, and record action items afterwards.

    Reporting and Documentation

    Assist in the preparation of regularly scheduled reports.

    Develop and maintain a digital and physical documentation filing system.

    Update and maintain office policies and procedures.

  • Perform data entry and record keeping for bookkeeping and accounting
  • Submit and reconcile expense reports and financial statements.

    General

    Order office supplies and research new deals and suppliers.

    Provide general support to visitors.
