Job Title: Temporary Administrative Assistant (Maternity Leave Coverage)
Duration: 4-month contract (approx. mid-February to mid-June, subject to change)
Location: New Paint Shop
Hours: 7:00 AM - 3:30 PM, Monday to Friday
Hourly Rate: $20.00/hour
Dress Code: Business casual (solid jeans are fine)
Key Responsibilities:
- Monitor and track vacation requests, absences, bereavement, etc.
- Oversee point tracking and assist with creating employee write-ups for supervisors when needed.
- Review and correct payroll as necessary, ensuring accuracy.
- Sign off on payroll every Monday, including during holidays (Easter Monday, Memorial Day, etc.).
- Submit badge requests for new hires, visitors, and others.
- Place inventory orders and monitor stock.
- Track and manage weekly spending and budget to ensure alignment with departmental goals.
- Generate and submit weekly Alpha reports.
- Update weekly overtime sheets to ensure accuracy and compliance.
- Prepare and submit the monthly accrual report.
- Perform miscellaneous administrative tasks as assigned by leadership (Jay, Kerry, and Regional Manager Ralph).
Requirements:
- Proficiency in Microsoft Office, particularly Excel, is required.
- Prior administrative and/or payroll experience is preferred.
- High school diploma or equivalent.
- Strong verbal and written communication skills for interacting with employees, vendors, and corporate staff.
- Excellent attention to detail and ability to focus on tasks to ensure accuracy.
- Ability to multitask and manage multiple systems, reports, and documents simultaneously.
- Strong time management skills, with the ability to prioritize tasks based on deadlines.
- Flexibility and willingness to take on varied tasks and responsibilities as needed.
- Must pass a background check and drug screening.
Additional Information:
- You will be provided with a laptop, work cellphone, and hotspot for remote access to necessary systems and documents.
- You will work closely with the current administrative assistant during the training period, with additional support available from other team members as needed.
- You will be located at the New Paint Shop, and full resources will be provided to assist you throughout the assignment.
