Job Summary
The Front Office Manager plays a pivotal role in the surgery center. They will oversee daily operations, manage front office staff, and handle administrative tasks while adhering to regulatory requirements and maintaining high customer service standards. This role requires strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment. The Front Office Manager should have a high school diploma or GED. Minimum two years’ experience in health care and minimum of one year experience in surgery center registrations preferred. The successful candidate must have the ability to work independently as well as function within a team; have a basic knowledge of surgery scheduling, receptionist and registration responsibilities; and must possess the ability to handle stress.
Responsibilities
- Answer phone calls promptly and professionally, utilizing excellent phone etiquette.
- Schedule appointments and manage the calendar for the office.
- Maintain patient records accurately.
- Process patient information and verify insurance details including Medicare and ICD-9 codes.
- Handle administrative tasks such as filing, data entry, and maintaining office supplies, emails, and other correspondence.
- Communicate effectively with patients regarding their inquiries and concerns.
- Support the medical office management team in daily operations.
- Manage QuickBooks.
- Ensure compliance with federal, state, and local regulations, including HIPAA and OSHA.
- Maintain accurate and up-to-date records of compliance activities.
Skills
- Proficiency in EMR systems.
- Strong phone etiquette and customer service skills are essential.
- Familiarity with medical terminology and medical coding practices is beneficial.
- Knowledge of ICD-9 coding and Medicare processes is desirable.
- Excellent organizational skills with the ability to multitask effectively.
- Strong interpersonal skills to interact positively with patients and staff.
- Attention to detail to ensure accuracy in patient records and scheduling.
- Ability to work collaboratively in a fast-paced environment while managing multiple tasks efficiently.
- Strong leadership skills to inspire and motivate front desk staff towards achieving service excellence.
