Position Overview
Responsible for bidding, contracting, purchasing, inventory management, distribution to locations and development of par levels for the hospital and clinic. Communicates with all departments, assists in the purchase and maintenance of par levels of necessary medical supplies to provide patient care and of non-medical supplies for the hospital. Main point of contact for pricing all products, which is inclusive of negotiating prices, maintains the inventory and interacts with internal customers to assure that needs are being met. Maintains the inventory master listing and preference card master files in relation to inventory identification, usage and depletion. Manages all areas of supply distribution, receiving, case cart management, anesthesia and each operating room (OR) inventory levels and replenishment. Ensures accuracy of OR supply and implant billing by auditing all charges within 24 hours post-surgery. Approves and reviews invoices for any variance for Accounts Payable. Manages and supports all areas of product recalls, inclusive of manufacturers and the FDA, to ensure removal of any applicable inventory. Ensures expirations are maintained, logged and recorded monthly. Ensures the reporting of any product or equipment failures, according to policy and applicable regulations.
Essential Functions
- Develop and manage contracts and bidding processes for purchasing hospital supplies and equipment.
- Establish and maintain a structured inventory control system, ensuring appropriate par levels and cyclical ordering.
- Maintain and update inventory and preference card master files for accurate tracking of usage and depletion.
- Oversee supply distribution, receiving, case cart management, and anesthesia/OR inventory levels and replenishment.
- Ensure proper purchase order (P.O.) issuance and perform three-way match reconciliation with Accounts Payable.
- Audit and review surgical charges within 24 hours post-surgery to ensure accuracy.
- Act as the primary liaison between departments for procurement and inventory needs.
- Verify and document all deliveries of supplies and equipment to the hospital.
- Ensure accuracy in billing by reviewing and approving invoices for supplies and equipment.
- Manage and process product recalls in compliance with manufacturer and FDA guidelines.
- Organize and maintain storerooms, ensuring compliance with fire codes, cleanliness, and removal of recalled items.
- Oversee hospital-wide year-end physical inventory counts.
- Monitor and approve departmental timesheets in accordance with payroll and HR policies.
- Report product and equipment failures per hospital policies and applicable regulations.
- Ensure compliance with OSHA standards and other safety protocols to protect patients and staff.
Required Qualifications
- Experience: 5–7 years in Materials Management within a hospital setting preferred.
- Education: Bachelor's degree preferred.
- Skills & Competencies:
- Strong negotiation and vendor management skills.
- Proficiency in sterile techniques and materials handling.
- Strong analytical skills, including experience with spreadsheets and inventory management systems.
- Excellent communication and leadership abilities to effectively collaborate with internal teams and external vendors.
- Detail-oriented with the ability to manage multiple tasks efficiently.
Work Environment & Physical Requirements
- Work in a temperature-controlled environment with occasional exposure to heat and cold when handling shipments.
- Requires cognitive skills for reading, math, filing, and sterile technique applications.
- Must have adequate vision (near, mid-range, far) and hearing capabilities.
- Physical requirements include prolonged standing, occasional sitting, crouching, and kneeling, as well as frequent walking and reaching above/below waist.
- Exposure to blood, body fluids, infectious diseases, chemicals, and lasers.
- Must be able to lift 30–75 pounds.
