JOB TITLE: Scheduler
GENERAL SUMMARY OF DUTIES: Responsible for scheduling up to 850 cases per month and will work to fill every open room and open space on the schedule. Scheduler will be an integral part of our Front Desk Team and will be valued and a high-profile member of our Center. This position reports to Administrator directly.

EDUCATION/EXPERIENCE:
- High School
- 2 years of previous experience scheduling surgeries and/or procedures
- Experience with a variety of physician offices
- Understands medical terminology and is comfortable navigating a clinical environment.
KNOWLEDGE:
- Knowledge of clinic policies and procedures.
- Knowledge of computer systems, programs and spreadsheet applications.
- Knowledge of medical terminology and be familiar with scheduling software.
SKILLS:
- Skill in written and verbal communication and customer relations.
- Experience in a medical office as a scheduler.
- Fast and accurate data entry.
- Service oriented, patient demeanor.
- Ability to multi-task, manage time effectively, and deliver results.
- Strict attention to detail.
- Intermediate computer skills and knowledge of Microsoft Office and Excel.
ESSENTIAL FUNCTION:
Makes an effort to fill every empty space on schedule by calling and/or emailing offices.
Builds a great relationship with physician’s office staff and communicates on a weekly basis.
Documents scheduling offers and follow-ups as necessary to ensure all available blocks are filled.
Offers an alternative day and time instead of rejecting any cases.
Communicates with offices to find out physicians’ vacation time and offer alternative day and time if needed.
Makes 8 to 10 calls daily to offer available times and tracks success.
Communicates with preop, operating room staff and postop if cancelation or add-ons happen.
Call offices 6 to 8 weeks prior and offer available blocks to aid in having a fuller schedule with no gaps.
Know when to consolidate rooms based on unexpected cancelations and communicates changing patient start time as needed.
Be mindful of equipment needs (X-RAY, microscope, GI tower, Koelis and ESWL table).
Ensure x-ray technician is scheduled and available.

- PHYSICAL/MENTAL DEMANDS: Requires sitting and standing associated with a normal office environment.
- ENVIRONMENTAL/WORKING CONDITIONS: Fast-paced office environment with heavy telephone work. Occasional late day finishing tasks.
