Client Service Operations Coordinator Responsibilities:
· Professionally and efficiently answer, screen, and direct a high volume of incoming phone calls.
· Welcome clients and visitors with a warm, professional demeanor.
· Prepare and organize meeting rooms for client appointments and team meetings.
· Manage scheduled appointments to ensure smooth office operations.
· Maintain accurate records of calls and visitor interactions.
· Sort, distribute, and manage incoming and outgoing mail.
· Support administrative functions, including copying, faxing, scanning, taking notes, and coordinating travel arrangements.
· Utilize legal practice management software to document call notes, relay messages, retrieve information and respond to client inquiries.
· Work comfortably with technology, including managing multiple screens and navigating various software programs simultaneously.
· Support the Client Service team with administrative tasks and client communications.
· Handle additional administrative tasks as needed.
Client Service Operations Coordinator Requirements:
· Prior experience in client service.
· Reliable, professional, positive attitude.
· Excellent written and verbal communication skills.
· Proficient in Microsoft applications including Word, Excel, and Outlook.
· Tech-savvy with the ability to quickly learn and adapt to new software programs.
· Strong organizational and time management skills.
· Experience with administrative and clerical procedures.
· Comfortable multitasking with multiple screens and software applications simultaneously.
· A collaborative team player who is willing to assist with various tasks as needed.
· Spanish and/or Portuguese speaking a plus
· Familiarity with legal practice management or client management software is a plus.

Pay: $21.30 per hour
