We are seeking an Office Assistant who is responsible to oversee the resources needed for successful operation of all support services for the Company. This includes provisioning of information technology equipment/systems, training of staff on office procedures and, completion of administrative assignments, data management, document management, and participation in quality improvement initiatives. An ideal candidate will be passionate about renewable energy, be technologically savvy, have excellent communication skills, and be extremely organized. Qualified candidates will also delight in playing a meaningful role in a growth-phase business (with all of its joys, adventures, and challenges), thoroughly enjoy working with people, and embrace GreenSpark’s purpose, mission, and vision.
The Office Assistant's day to day responsibilities include but are not limited to:
Maintaining office efficiency by planning and implementing systems, layouts, and equipment
Organizing and maintaining records in paper and electronic file formats
Tracking and renewing contracts/certificates, licensing, taxation, insurance, etc…
Helping resolve inquiries to promote positive client and vendor relations
Support the organization with tasks and record-keeping
Managing correspondence, inquiries, and visitors to determine appropriate solutions and access to specific individuals
Designing, implementing, managing, and continuously improving office policies and procedures
Preparing reports, documents, and information to support staff
Communicate with community members, peers, and supervisor; in writing, in person or by telephone or email - all the time, never stops. Communication is key to this role and its relationships with key stakeholders!
Be a great team player
Maintains stock of office supplies
Manages stock of office keys, key cards and alarm system codes and provides training to eligible employees (as determined by supervisors)
Distribute incoming mail to proper recipients and send outgoing mail as requested
Serve as point of contact for employee questions and direct to responsible parties and/or subject matter experts as needed
Work in coordination with warehouse and facilities managers to engage with vendors for facility maintenance as needed
These are our education & qualification requirements:
At least five years of relevant experience;.
Previous reception/office supervisory experience in an office setting. Ability to function within the organization at a management level and effectively interact with all levels of the organization.
Advanced computer and data entry skills and use of Google and Microsoft suite products.
Ability to problem-solve, interact well with staff, clients, the public and work with a wide variety of people.
Must be organized, detail oriented, flexible, decisive and deliberative.
Ability to handle multiple assignments at once, resolve specific problems quickly, and meet deadlines.
Ability to conduct and present themselves professionally and in a welcoming manner
