Job Responsibilities :
- Organize, maintain, and update physical and digital filing systems for tenant records, lease agreements, invoices, and other property-related documents.
- Retrieve and distribute files, reports, and documents as requested by property managers, leasing agents, and other staff.
- Assist with scanning, photocopying, and filing important records to ensure proper document retention and compliance.
- Enter and update data in property management software (e.g., Yardi, AppFolio, or similar systems).
- Answer and direct phone calls, emails, and inquiries from tenants, vendors, and internal staff.
- Assist with preparing correspondence, notices, and basic reports related to property management operations.
- Support accounts payable and receivable processes by filing invoices and processing basic documentation.
- Maintain office supplies inventory and order replacements as needed.
- Perform general office tasks, such as sorting mail, scheduling meetings, and assisting with administrative projects.
- Uphold confidentiality and security protocols when handling sensitive documents.
